In this role, you will provide administrative support to one ore more executives by managing their workflow and priorities for our licensed coffeehouse organization.
- Proactively manage executive calendars with attention to accuracy, detail and allocation of time and resources. Reprioritize as appropriate if business initiatives change and act independently to realign executive priorities.
- Serve as the main point of contact for the business unit or department. Answer questions, direct requests to appropriate partners and work with partners to exchange information.
- Organize, host and facilitate activities such as team and cross-functional meetings, conferences and department activities.
- Direct and execute complex administrative activities including coordinating, tracking or analyzing budgets; research information to respond to questions; update databases and organizational charts; create monthly reports or analyses; and organize large volumes of materials. Research background material and collect data for reports, meetings, events and correspondence.
- Create dynamic charts, tables, graphs and presentation materials, sometimes containing confidential content, ensuring that the final product has been edited for spelling, grammar and layout.
- Provide support and resources to department hiring managers for new partner setup and immersion activities, including ordering appropriate equipment.
- Organize and schedule team and department meetings, arrange for live and virtual audiovisual equipment, set up meeting facilities and take meeting notes.
- Schedule executive domestic and international travel in compliance with existing policies and procedures. Proactively address all aspects of executive's travel such as currency, weather, culture and locale to ensure executive's effective use of time and resources to promote productivity.
- Actively engage with executive's team to ensure alignment of priorities and open communication paths. Attend team meetings as requested.
- Advise department in awareness of and compliance with company policies and procedures. Take initiative to provide training and coaching when appropriate, including department and travel budgets.
- Work collaboratively with other administrative assistants in the Toronto office and remote to support each other’s departments and share best practices.
- Maintain regular and punctual attendance.
- Highschool diploma/GED or 4+ of military experience
- 5+ years progressive administrative experience
- 5+ years’ experience managing calendars and email in MS Outlook
- 5+ years’ experience in project or event management
- 5+ years experience in a fast-paced environment
- 5+ years experience making domestic and international travel arrangements
- Adaptability - able to execute with flexibility in response to a constantly changing environment.

- Communication - able to communicate clearly and concisely, both verbal and written.
- Customer Service - demonstrate a positive, can-do attitude with the desire to take on additional responsibilities, consistently delivers high quality customer service to both internal and external stakeholders.
- Organization - excellent organizational skills and high level of integrity and discretion in handling confidential and sensitive information with superior attention to detail.
- Problem Solving - critical thinking and strong analytical skills; able to proactively anticipate needs and use sound judgment.
- Technology - advanced knowledge of Microsoft Office 365 and virtual tools, particularly PowerPoint and MS Teams. Experience with Miro is considered an asset.
- Time Management - able to balance multiple priorities and projects in a fast-paced environment, meet deadlines and follow through on commitments.
- Ability to flex hours of work to support leaders in both BC and Ontario.
