Summary
We are seeking a highly organized and detail-oriented individual to join our team as a Secretary. This full-time position is essential to ensuring the smooth operation in our schools. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to manage multiple tasks efficiently. This role requires a strong commitment to providing administrative support to various departments and contributing to a positive work environment.

Responsibilities

  • Answer and direct phone calls, taking messages as necessary.
  • Greet and assist visitors, ensuring a welcoming environment.
  • Manage and maintain schedules, including booking appointments and coordinating meetings.
  • Prepare and distribute correspondence, reports, and documents as needed.
  • Maintain organized filing systems for both electronic and paper documents.
  • Assist in the preparation of presentations and other materials for meetings.
  • Handle incoming and outgoing mail and packages.
  • Support various departments with administrative tasks, including data entry and record keeping.
  • Maintain office supplies inventory and place orders when necessary.
  • Perform other related duties as assigned to support the team.

Requirements

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Proven experience as a secretary or in a similar administrative role.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills and a customer-oriented approach.
  • Flexibility to adapt to changing priorities and deadlines.

Hours

  • Elementary: 8:15am-4:15pm
