- Administrative Support & Financial Management:
- File documents and maintain filing systems, both physical and digital, to ensure all financial records are organised and easily retrievable. File and data archiving.
- To do data entry tasks in manage receivable and payable account and maintain financial record.
- Create and update corporate customer master records between the Clinic software – GPC Connect and Xero accounting.
- Manage general accounting tasks, including monthly invoicing and following up on payments.
- Arranging for Suppliers’ bills payment via online payment. Verified Suppliers’ invoices and discrepancies work like obtaining missing suppliers’ invoices.
- Perform stock take reconciliation and verification accuracy of data record in clinic software – ad hoc basis and final yearend.
- Write and reply e-mail, letters and other necessary correspondence that is assigned by director.
- Manage the attendance and keeping track on staff attendance and activities. Liaise with the attendance software provider in event of any problem faced by staff in clock-in and out. Provide rectify on the back end in the event of any staff forgot the log in or fill in leave/OT form. Monitor staff annual level, MC & OT on monthly basis before month end payroll run.
- Reconciliation of daily credit card collection (AMEX/VISA).
- Handle general administrative duties, such as MOM statistic /HR matters and internship collaboration with polytechnic, drafting staff employment letter , renewal of company insurance , form filing and other HR related works.
- Manage patient billing processes, including invoicing, collections, and insurance claims submission.
- Monitor accounts receivable and follow up on outstanding payments.
- Assist in financial reporting by maintaining accurate records of income and expenses.
- Office Management:
- Order and manage office materials like copier papers and visa machine paper order and keeping the warranties card of the office equipment.
- Collaborate with clinic assistants to streamline office operations and improve patient care workflows.
- Assist with administrative projects and tasks as needed to support clinic operations.
Qualifications:
- Diploma or equivalent; additional certification in office administration or accounting is preferred.
- Relevant working experience in a healthcare setting, particularly in a GP clinic, is highly desirable.
- Able to use Microsoft Office and experience in some accounting software.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills, with the ability to work collaboratively in a team environment.
- Ability to maintain professionalism and handle sensitive information with discretion.
Job Type: Full-time
Pay: $2,200.00 - $2,800.00 per month
Schedule:
- Day shift
- Monday to Friday
- Weekend availability
Supplemental Pay:
- 13th month salary
- Overtime pay
Experience:
- Microsoft Office: 3 years (Preferred)
Work Location: In person
