Job Summary:
The Accounts Payable Coordinator plays a key role within the accounting department in ensuring the accuracy, integrity, and efficiency of ABM’s financial operations. This position is responsible for the timely processing of vendor invoices, execution of supplier payments, and reconciliation of accounts payable-related balances, all while maintaining strong internal controls and compliance with ABM company policies and SOP’s.
You will help support month-end and year-end financial reporting, contribute to audit-readiness, and help drive continuous process improvements. This role is ideal for a detail-oriented finance professional who values accuracy, collaboration, and operational excellence.
Key Responsibilities:
- Ownership of accurate and timely recording of vendor invoices, ensuring costs are reflected in the correct accounting period and general ledger accounts.
- Safeguard financial controls by ensuring all supplier payments are processed only with proper authorization.
- Execute supplier payments in alignment with ABM policies/standard operating procedures and negotiated payment terms.
- Perform monthly reconciliations of key supplier accounts to preserve full credit facilities and prevent any service disruptions.
- Reconcile the AP subledger to the balance sheet, proactively identifying and resolving discrepancies within sixty (60) days.
- Reconcile additional AP related balance sheet accounts, ensuring completeness, accuracy, and timely issue resolution.
- Maintain well organized, complaint records of supplier invoices and supporting documentation, ensuring easy access for yearly audits and internal reviews.
- Reconcile corporate credit accounts to confirm all transactions are accurately captured in the financial statements.
- Prepare month-end accruals that support accurate and reliable financial reporting.
- Contribute to continuous improvement by collaborating with the rest of the Accounting department to enhance processes, efficiencies, and internal controls.
- Take on additional responsibilities as assigned, supporting the evolving needs and growth of the Accounting department.
Qualifications:
- 2+ years of experience in Accounts Payable or related accounting operations role.
- Knowledge and experience with Microsoft Dynamics GP.
- Knowledge of Beanworks/Quadient AP Automation software a big plus.
- Diploma of Accounting is an asset.
- Use of Microsoft Office Suite of products at an intermediate skill level.
- Practical knowledge of sales tax, tax credits, etc.
- Practice knowledge of purchase orders and credit terms.
Working Conditions:
- Primarily office-based role in a professional, corporate environment.
- Standard business hours with occasional additional hours required during peak periods such as month-end, year-end, or audit cycles.
- Regular use of computers, accounting systems, and standard office equipment.
- Frequent interaction with internal stakeholders and external vendors via e-mail, phone, and virtual meetings.
- Ability to remain seated for extended periods while performing computer-based work.
- Strong attention to detail and ability to maintain accuracy while managing multiple priorities and deadlines.
- Professional judgment and discretion required when handling confidential financial information.
