PURPOSE OF JOB:

To supervise the accounts payable department, ensure vendors are paid on time and act as a liaison between vendors and Highland Farms.

This position is on-site Monday to Friday, 9am to 5pm.

RESPONSIBILITIES:

Supervision of Accounts Payable Operations

  • Oversee daily processing of high-volume vendor invoices, credit notes, and payment requests
  • Ensure accurate three-way matching (Purchase Order, Receiving, Invoice)
  • Review and approve invoice coding to correct GL accounts, cost centers, and stores
  • Monitor AP aging reports and ensure timely payments to avoid late fees and service disruptions
  • Manage recurring payments, utilities, rent, and service contracts common in retail operations

Vendor Management

  • Maintain and manage vendor master data (setup, changes, compliance documentation)
  • Resolve invoice discrepancies, price variances, shortages, and vendor inquiries
  • Build and maintain strong relationships with suppliers and service providers
  • Ensure vendor statements are reconciled regularly

Team Supervision & Training

  • Supervise, train, and support Accounts Payable clerks
  • Assign workloads, monitor productivity, and ensure adherence to deadlines
  • Review team work for accuracy, completeness, and compliance

Financial Controls & Compliance

  • Ensure compliance with internal controls, company policies, and audit requirements
  • Support internal and external audits by providing AP documentation and explanations
  • Ensure proper segregation of duties and approval workflows
  • Maintain compliance with tax requirements (HST/GST, withholding, etc.)

Month-End & Reporting

  • Prepare AP accruals and assist with month-end and year-end closing
  • Reconcile AP sub-ledger to the general ledger
  • Prepare AP reports including aging, vendor balances, and cash requirements

Other Requirements:

· Post-secondary diploma in accounting preferred.

·Knowledge of Sage 300 Accounting software

Job Type: Full-time

Pay: $60,000.00-$64,000.00 per year
