Activities Coordinator – Extra-Curricular Programs
Potentially Vacant Permanent Full-Time Position | Commencing August 2026 (Exact date to confirm)
We are seeking a highly organised, proactive Activities Coordinator to support the Extra-Curricular Activities Supervisor in the coordination, delivery and day-to-day of our AES program. As Activities Coordinator, you will contribute to the smooth operation of the AES program each semester and provide daily on-site support to students, staff and families.
Extra-Curricular Activities Coordination
- Act as a key point of contact for parents regarding extra-curricular activities
- Liaise with activity providers and support the HR team with the onboarding of interveners (collection of required documentation)
- Organise replacement interveners when required
- Allocate and coordinate appropriate spaces for activities (classrooms, theatre, outdoor areas, etc.)
- Provide on-site support during sessions when necessary and manage behavioural incident reporting
- Design and produce a bi-annual promotional brochure for the AES program
- Coordinate the Musical Theatre project from provider selection through to the delivery of up to five performances
In collaboration with the Extra-Curricular Activities Supervisor, you will:
- Recruit new interveners and support the development of new activities
- Prepare and coordinate the AES program each semester
- Manage student absence notifications
- Monitor and track AES-related expenses
- Organise performances and shows (approximately 50 per year)
- Supervise students in the playground during AES hours
- Monitor student attendance using Eduka and coordinate supervision with team members
- Manage parent flow during pick-up times (5:15 pm – 6:00 pm)
- Follow up on late pick-ups, including supervision of students and administration of late pick-up invoices
Strong organisational and coordination skills
Excellent communication skills (in French & English) with parents, staff and external providers
Confidence working with children in a school setting
The ability to manage multiple priorities in a dynamic environment
A proactive, flexible and team-oriented approach
Experience in a school or extra-curricular environment will be highly regarded.
