Job Type: Full-time, permanent
Hours: 37.5 hours per week, Monday to Friday, 9.00am to 5.00pm, exclusive of breaks

About the Role

We are seeking an Administration & Sales Coordinator to join the Messenger team and provide day-to-day administrative, operational, sales and marketing support.

This is a great opportunity for someone who enjoys keeping things organised, supporting a busy team and contributing to work that has a meaningful and lasting impact.

The Sacred Heart Messenger is a faith-based publication, and the successful candidate will be expected to support the publication in a professional and respectful way, with an understanding of its values, tone and audience.

The role is full-time and based on site in Milltown Park, Dublin 6. Due to the nature of the position, including office coordination, customer and promoter support, administration, records management and team support, regular attendance on site is an essential part of the role.

The successful candidate will help with the smooth running of the office function, respond to customer and promoter queries, maintain accurate records, support sales and marketing activity, and provide practical support to colleagues.

They will also help identify practical process improvements, support the Team Leader with the coordination of day-to-day work, and help ensure that administrative, customer service and promotional activity is delivered to a high standard.

This is a support role and does not include formal people management responsibility. However, the successful candidate will be a reliable point of support within the team and will help ensure that work is completed accurately, professionally and on time.

Key ResponsibilitiesAdministrative and Operational Support

  • Provide professional administrative support across the publication function.
  • Support the Team Leader and/or Publishing Manager with the coordination of day-to-day administrative work.
  • Help ensure work is prioritised, completed accurately and progressed within agreed timelines.
  • Act as a practical point of support for colleagues on administrative processes and systems.
  • Escalate operational issues, delays or concerns to the appropriate manager.

Sales and Marketing Support

  • Support agreed sales and marketing activity for the Sacred Heart Messenger and related services.
  • Assist with customer, promoter, subscription and sales-related administration.
  • Support promotional campaigns, mailings, customer communications and marketing initiatives as required.
  • Maintain accurate sales, customer, promoter and campaign records.
  • Assist with monitoring responses, follow-ups and outcomes from sales or marketing activity.
  • Support the preparation of reports, lists, materials or information needed for sales and marketing purposes.
  • Identify practical opportunities to improve customer engagement, promoter support and revenue-related administration.
  • Escalate any significant customer, sales or promotional issues to the Team Leader and/or Publishing Manager.

Customer and Promoter Support

  • Deal with customer and promoter queries in a professional, helpful and timely manner.
  • Support strong working relationships with customers, promoters, suppliers and other stakeholders.
  • Assist with resolving routine issues and escalate more complex matters where required.
  • Ensure customer and promoter records are maintained accurately.
  • Support a positive and professional experience for customers, promoters and other contacts.

Records, Systems and Processes

  • Maintain accurate administrative, customer, promoter, subscription, sales and marketing records.
  • Use internal systems correctly and in line with agreed procedures.
  • Support consistency in how information is recorded, updated and retained.
  • Identify any gaps, errors or inefficiencies in current processes and raise these appropriately.
  • Support the introduction of improved systems, processes or ways of working.

Quality, Compliance and Confidentiality

  • Maintain a high level of accuracy and attention to detail in all administrative work.
  • Support compliance with internal policies, data protection, confidentiality and health and safety requirements.
  • Handle personal, customer and organisational information carefully and confidentially.
  • Check work for accuracy before processing, issuing or filing.
  • Support good administrative practice across the team.

Team Support

  • Work collaboratively with colleagues and contribute to a positive team environment.
  • Provide practical support to colleagues during busy periods or where additional assistance is needed.
  • Share relevant information clearly and in a timely manner.
  • Support a respectful, cooperative and professional working culture.

Additional Duties

  • Undertake additional reasonable duties in line with the role and level of responsibility.
  • Support wider organisational priorities as required.
  • Remain flexible and responsive to changing business needs.

Person Specification

The successful candidate should have:

  • Strong administrative, office support or customer service experience.
  • Experience supporting sales, marketing, customer communications or promotional activity.
  • Excellent attention to detail and accuracy.
  • Good organisational and prioritisation skills.
  • Strong written and verbal communication skills.
  • A professional and helpful approach to customers, promoters and colleagues.
  • Good IT skills and confidence using administrative systems.
  • Ability to work independently and as part of a team.
  • Ability to support colleagues with routine processes and queries.
  • A clear understanding of confidentiality and data protection.

Work Location

This is a full-time, on-site role based in Milltown Park, Dublin 6.

Pay: €36,000.00-€38,000.00 per year
