About the Role

We are seeking a service-oriented and agile Administration Co-ordinator, Procurement to support Swinburne University’s dynamic procurement team. The successful candidate will provide admin, governance and analytical/reporting support to the Team, as well as assisting with broader procurement activities, such as responding to user queries and updating the Procurement intranet site.

The role involves supporting the implementation of Swinburne’s procurement frameworks, systems, and training to streamline value delivery across the supply chain. A can-do attitude, ability to interpret data sources and run analytical reports and a proactive approach to improvement initiatives are essential. Strong stakeholder engagement and high-quality customer service will be key to success, along with the opportunity to contribute to strategic projects aligned with Swinburne’s overall strategy.

About You
To be suitable for this role you will need to have experience in these areas::

  • Identifying and implementing continuous improvement initiatives
  • Undertake governance reviews and reporting against procurement and financial delegation policy obligations, acting on non-compliance as instructed.
  • Support Procurement Excellence with identifying and implementing policy changes to improve governance controls.
  • Develop and deliver Procurement KPI measurement and reporting
  • Co-ordinate the accurate and timely provision and classification of supplier spend data, liaising with key parties involved.
  • Provide category and supplier spend and benchmarking analysis and insights to support procurement planning and strategy
  • Provide operational support and contract administration across spend categories managed by Procurement, for example print services, office supplies, stationery.
  • Maintaining procurement records, updating policies and intranet documents
  • Respond to user queries through managing central email inboxes

Qualifications

  • A degree qualification with subsequent experience in Business Administration, Procurement or Finance or an equivalent combination of relevant experience and/or
education and training.
