Description


What is the purpose of the role?
As our Administration Manager, you will be responsible for overseeing a broad
spectrum of administrative tasks, from payroll management to compliance, office
access, and vendor coordination. You will collaborate closely with internal
departments, external service providers, and regulatory bodies to ensure all
administrative processes run smoothly and effectively.


Key Responsibilities


  • Payroll Management
  • Coordinate payroll processing, working closely with our payroll provider to ensure timely and accurate payroll administration.
  • Serve as the main point of contact for payroll-related inquiries and resolve issues as they arise.
  • Collaborate with brokers and manage communication to support benefits and deductions.
  • Compliance & Regulatory Reporting
  • Manage interactions with regulatory authorities, including UWV (Employee Insurance Agency), IND (Immigration and Naturalization Service), and Belastingdienst (Dutch Tax Authority).
  • Draft, update, and enforce local policies to ensure company compliance with local regulations and best practices.
  • Oversee the RI&E (Risk Inventory and Evaluation) process to ensure a safe and compliant workplace.
  • Office Administration & Access
  • Manage employee access to office buildings and ensure that equipment and facilities meet staff needs.
  • Coordinate with office management for equipment procurement, setup, and maintenance to support a productive work environment.
  • Handle invoices, reimbursements, and other financial aspects related to office operations.
  • Financial Administration & Reimbursements
  • Oversee the invoicing process, ensuring timely payments and efficient record-keeping.
  • Manage employee reimbursements for expenses, ensuring compliance with company policy and accurate record-keeping.
  • Monitor and manage administration budgets to support financial objectives.
  • Vendor & Broker Coordination
  • Act as the point of contact for external vendors and brokers, ensuring services meet company standards and negotiating terms as needed.
  • Handle communication with insurance and benefits brokers to support employee well-being and organizational compliance.


Skills, Knowledge and Expertise


Skills and essential qualifications (or equivalent)
  • This role calls for critical thinking skills and subject knowledge typically associated with a bachelor's degree level
  • 3+ years of experience in administrative or management roles, with a focus on payroll and compliance.
  • Strong knowledge of Dutch payroll regulations, tax compliance, and regulatory bodies (UWV, IND, Belastingdienst).
  • Proven experience in drafting policies, managing payroll processes, and handling financial administration.
  • Excellent communication and negotiation skills, with the ability to work effectively with internal and external stakeholders.
  • capacity and willingness to learn (new) software tools (BambooHR, AFAS, Lyanthe, etc)
  • Ability to work autonomously without a team and B2 level of Dutch language
