About the Role
Mudgingaal Balaang | South Nowra
Social, Community, Home Care and Disability Services Industry Award | Level 4 (Level 3 may be considered for the right candidate. Based on qualifications and experience)
Part-time | Monday, Wednesday, Friday
Waminda is seeking an Administration Officer to support the administrative functions of Mudgingaal Balaang Gunyah, our purpose-built refuge based in South Nowra.
This is a key frontline role providing professional, efficient, and culturally safe administrative support to clients and their families upon arrival, as well as to staff and visitors.
You will be responsible for managing communications, maintaining accurate records, supporting day-to-day office operations, and contributing to the smooth and effective running of the Refuge service.
What You’ll Be Doing
- Provide responsive administrative and operational support to staff, clients, and stakeholders
- Be the first point of contact for telephone enquiries, emails, and general correspondence
- Support client intake processes and maintain accurate, confidential records and databases
- Maintain electronic and paper filing systems in line with organisational and compliance requirements
- Coordinate meetings, training sessions, internal and external events as required
- Manage stationery, supplies, and office resources to ensure smooth service delivery
- Support quality assurance, audits, and compliance reporting requirements
- Assist with program preparation and operational tasks as directed by the Manager
- Maintain a clean, organised, and welcoming office environment for clients and staff
- Liaise with internal teams and programs to support effective communication and information flow
- Contribute to process improvements to enhance efficiency and service delivery
- Participate in team meetings, training, in-service sessions, and interagency forums
- Support community outreach activities and service events where required
- Ensure timely and accurate completion of administrative tasks and reporting.
What We’re Looking For
- Demonstrated experience in an administrative or office support role (health, community, or human services experience highly regarded)
- Certificate IV in Business Administration or related field (or willingness to obtain)
- Strong organisational and time management skills with the ability to prioritise competing tasks and meet deadlines
- Excellent written and verbal communication skills and the ability to work respectfully with diverse stakeholders
- Strong attention to detail and accuracy in record keeping and documentation
- Proficiency in Microsoft Office Suite and confidence using databases and electronic filing systems
- Ability to work both independently and as part of a multidisciplinary team
- Understanding of confidentiality, professional boundaries, and administrative compliance requirements
- Current NSW/ACT Driver’s Licence and willingness to travel if required
- Ability to work in a culturally safe, respectful and informed way with Aboriginal people, families, and communities, recognising the importance of cultural values and kinship connections
- Experience working in or with an Aboriginal Community Controlled Organisation is highly regarded
- Lived experience is valued and considered an asset in this role
