Position: Administrative and Marketing Assistant
Position Summary: The Administrative and Marketing Assistant is a key support role at the Strathcona Museum & Archives, providing administrative, marketing, and event coordination assistance. This dynamic position involves ensuring smooth office operations, coordinating community outreach and museum events, managing marketing content, and supporting sponsorship efforts. The ideal candidate is highly organized, adaptable, and passionate about contributing to the museum’s mission of preserving and promoting local heritage. The role offers a salary range of CAD 45,000 - 50,000, and is ideal for a proactive, detail-oriented professional.
Key Responsibilities:
- General Administrative Duties:
- Office Coordination: Oversee daily operations, manage schedules, handle correspondence, and maintain office supplies.
- Record Keeping: Ensure accurate records and databases related to museum operations are maintained.
- Document Preparation: Prepare and organize reports, presentations, and documentation for management and the board. Ensure documents are consistent with the museum’s style and branding guidelines.
- Event Coordination:
- Planning and Execution: Coordinate museum events such as exhibitions, community outreach programs, and special functions.
- Logistics: Coordinate logistics, including scheduling, vendor management, and providing on-site event support, including setup, guest assistance, and troubleshooting.
- Marketing and Communications:
- Content Management: Create and curate engaging content for the museum’s website, social media, and digital newsletters to increase public engagement
- Communications: Draft newsletters and other promotional materials for museum events and programs.
- Sponsorship Support:
- Research and Outreach: Identify potential sponsors, maintaining relationships with existing sponsors, and conducting research on sponsorship opportunities.
- Proposal Support: Help prepare and present sponsorship proposals and packages to potential sponsors.
- Event Acknowledgment: Ensure that sponsors receive the agreed-upon recognition during events and in promotional materials
- Donor Recognition and Stewardship:
- Acknowledgment: Assist in managing donor recognition and delivering benefits as outlined in sponsorship agreements.
- Financial and Budget Oversight:
- Tracking: Track administrative expenses and assist with preparing reports on sponsorship revenue to support budget planning.
- Budget Assistance: Support financial planning and budgeting related to administrative and sponsorship activities.
- Compliance:
- Regulatory Adherence: Ensure compliance with museum policies and industry regulations for all administrative and sponsorship activities.
Education Requirements:
- A degree or diploma in Business Administration, Marketing, Communications, or a related field is preferred.
- Equivalent work experience may be considered in lieu of formal education.

Additional Requirements:

- A valid driver’s license or reliable access to personal transportation
- A successful completion of a Vulnerable Sector check is required upon hiring
- Proficiency with Microsoft Office Suite or other relevant software is required.
Occasional evening and weekend work required for events.
