About the role:
This role provides high-level administrative support to the team while serving as a key liaison with the client. The position involves comprehensive account support, insurance claim management, and event coordination, requiring strong organisational skills and the ability to build relationships across multiple departments and stakeholders. The successful candidate will work closely with the Account Director and various internal teams to ensure seamless service delivery and client satisfaction.

This is a part-time position offering two days per week with flexible scheduling to accommodate work-life balance. You must be an Australian Citizen and you will need to be able to obtain the relevant clearances.

Day to day responsibilities:


  • Provide high-level administrative support to the Account Director, including managing and maintaining reporting templates

  • Process payments for registrations and ad-hoc external payments, and provide assistance with travel arrangements and account expenses

  • Prioritise conflicting demands and handle matters proactively, ensuring projects are completed successfully within deadline pressures

  • Manage insurance claim submissions on behalf of the client, providing all required details to iCare and coordinating responses to queries

  • Work closely with Facilities Managers and the Workplace Operations Director to ensure timely responses to all insurance-related queries

  • Oversee insurance claims management for the clients properties affected by storms, floods, and other events

  • Maintain regular liaison with the client regarding all insurance matters and updates

  • Coordinate logistical arrangements for account team meetings, events, and functions including venue sourcing, cost management, communications planning, travel arrangements, and agenda development



About You:

  • Proven experience in high-level administrative support, preferably in a client-facing or government environment

  • Strong organisational and time management skills with the ability to prioritise multiple tasks and meet tight deadlines

  • Experience in insurance claim management or willingness to learn complex insurance processes

  • Event planning and coordination experience with attention to detail and budget management

  • Excellent communication and relationship-building skills for effective collaboration across multiple departments and stakeholders

  • Proficiency in Microsoft Office Suite and other relevant administrative software
