Summary:
The Administrative Assistant will play a key role in supporting the Office Manager and Management Team across all the programs and services offered by the Friendship Society. This position is essential to ensuring the smooth and efficient operation of our main office functions.
In addition, the Administrative Assistant will provide administrative support to the Job Placement and Training Department. This department focuses on increasing workforce participation by enhancing access to skills development opportunities and labor market resources.
This position is the first point of contact for anyone entering the center, as such, the Administrative Assistant requires a great deal of knowledge about our in-house programs and services as well as those in community.
Responsibilities:
Provides excellent customer service, and always upholds professionalism with clients, staff, and community partners;
Administrative duties include but are not limited to; answering phones, completing payment transactions for center programs, receiving and logging the mail and managing social media;
Coordinate the overall day to day operation of the department and associated services to clients;
Link clients to other resources available within suite of programs offered at the Centre and within the community;
Provide employment/training assistance to clients, through service needs determination and development of individualized Employment Advancement & Placement Plans (EAPP’s);
Case management & data maintenance;
Establish a network of employment and training partners, key supports, and the development of resources and tools to further assist clients with successful transition into the workforce.
Assist other programs as required and undertake responsibilities as directed by the Executive Director.
Qualifications:
Administration Training or combination of other relevant training and/or post-secondary education, and/or a minimum of three (3) years of experience delivering direct client-focused support services;
Strong Experience with Microsoft Word, Excel and PowerPoint required;
Excellent organizational, communication and interpersonal skills;
Experience within a non-profit organization, especially community based, social, and/or employment service providers;
Ability to provide respectful, courteous and professional services based upon client centered approaches, paying particular attention to the client's barriers to employment and career enhancement;
Working knowledge of the local labor market and the areas of growth projected as well as skills shortages in various sectors;
Experienced in establishing and maintaining effective relations with community partners and stakeholders;
Required: Criminal record check, including vulnerable sector clearance.

Job Type: Full-time
Pay: From $23.00 per hour
Expected hours: 35 per week
