Front Desk / Administrative Assistant – Title Company

Schedule:
Monday – Friday | 8:00 AM – 5:00 PM

Position Summary:
We are seeking a professional, detail-oriented Front Desk / Administrative Assistant to support our busy title company. This position plays a key role in the closing process by managing front office responsibilities while assisting with file setup, client communication, and transaction coordination. The ideal candidate is friendly, organized, customer-focused, and able to handle a fast-paced, deadline-driven environment.

Key Responsibilities:

  • Answer and manage multiple phone lines, taking clear and detailed messages for escrow officers
  • Greet clients, realtors, and lenders in a professional and friendly manner; assist with seating for closings
  • Schedule closings and appointments, coordinating with clients, realtors, and lenders
  • Receive and receipt earnest money contracts and checks from clients and realtors
  • Enter new contracts and file information into the title/escrow system accurately and promptly
  • Prepare and organize files for processing, ensuring all required documentation is initiated
  • Request necessary documents and information from clients, lenders, and realtors
  • Scan, copy, and upload documents into electronic files
  • Send documents and correspondence via email to clients, lenders, and realtors
  • Assist with disbursements by delivering and mailing checks when needed
  • Maintain and stock office supplies and ensure front office organization
  • Assist with marketing efforts and manage social media updates

Qualifications:

  • Strong attention to detail and organizational skills
  • Excellent communication and customer service abilities
  • Ability to multitask and prioritize in a fast-paced, deadline-driven environment
  • Professional demeanor and appearance
  • Proficient in general office technology

Preferred Experience:

  • Previous experience in a title company, real estate, or escrow environment is a plus.
  • Clerical or administrative experience preferred

Pay: $13.00 - $17.00 per hour
