Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role involves providing comprehensive administrative support across various departments, ensuring smooth office operations, and delivering exceptional customer service. The ideal candidate will possess strong computer skills, experience with office management tools, and excellent communication abilities to handle a variety of clerical tasks efficiently. Experience in medical or dental office settings is a plus.
Responsibilities
- Manage front desk duties, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for daily administrative tasks and bookkeeping responsibilities
- Assist with scheduling appointments, managing calendars, and coordinating meetings
- Provide customer support through phone etiquette and responsive communication
- Handle administrative tasks such as copying, scanning, and organizing documents
- Support billing and invoicing processes as needed
- Maintain a clean and organized workspace to ensure efficient office operations
- Support medical or dental office functions if applicable, including patient check-in/check-out procedures
Experience
- Prior clerical or administrative experience preferred, especially in medical or dental offices
- Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is advantageous
- Strong computer skills including data entry, typing, and document proofreading
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Demonstrated customer service skills with professional phone etiquette
- Familiarity with front desk operations and multi-line phone systems is desirable
- Previous experience in medical or dental office settings such as dental receptionist or medical office assistant roles is a plus
Pay: $17.20-$31.39 per hour
