About Us:

Soma Massage & Wellness is a wellness clinic dedicated to helping our clients and community to Feel & Function Better through highly customized massage and esthetics treatments, excellent communication and attention to detail. We are looking for a motivated and detail-oriented Administrative Assistant to join our team and support our daily office operations.

Job Summary:

The Administrative Assistant will be responsible for providing administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks related to organization, communication, customer service and support of our Team. The successful candidate will be resourceful, level-headed, patient, self-motivated, a good problem solver, and organized.

Key Responsibilities:

- Perform general office duties such as answering phones, responding to emails and managing

correspondence.

- Schedule and coordinate appointments.

- Prepare and edit documents, reports, and presentations.

- Maintain filing systems, both electronic and physical.

- Handle requests for information and data.

- Assist in the preparation of regularly scheduled reports.

- Develop and maintain a filing system.

- Order office supplies and research new deals and suppliers.

- Manage inventory.

- Create and manage marketing content.

- Maintain contact lists.

- Provide general support to visitors.

- Assist in maintaining a clean, quiet and professional environment.

- Act as the point of contact for internal and external clients.

- Handle sensitive information in a confidential manner.

Qualifications:

- A positive, warm and welcoming demeanor, coupled with a professional attitude and appearance.

- Be Team oriented.

- Experience as an administrative assistant or in a similar role preferred (but not required if you’re a

fast and motivated learner).

- Proficiency in MS Office (MS Excel, MS Word, etc.).

- Proficiency in Canva (or the willingness to learn).

- Proficiency with Social Media Content creation (or the willingness to learn).

- Excellent time management skills and the ability to prioritize work.

- Attention to detail and problem-solving skills.

- Excellent written and verbal communication skills.

- Strong organizational skills with the ability to multi-task.

Preferred Skills:

- Familiarity with online calendars and cloud systems.

- Basic bookkeeping knowledge.

- Ability to work independently and as part of a team.

Compensation:

- Starting at $16/hr with incremental raises as proficiency and skill levels increase.

- The right candidate can climb up to $20/hr quickly!
