Administrative Assistant — VCAD Vancouver Campus
Position Overview
Job Title: Administrative Assistant
Location: VCAD Vancouver Campus (In-Person)
Position Type: Full-Time
Schedule: Monday to Friday, 8:00 AM – 4:30 PM
Compensation: $43,000 – $45,000 per year + Benefits & Paid Time Off (PTO)
Reports To: Campus Director
Position Summary
The Administrative Assistant will be responsible for the following, as well as other related duties as assigned to support the business objectives and purpose of the College.
1. Administrative & Operational Support
Providing general support including mailing, scanning, faxing, ordering supplies, and reception coverage.
Preparing correspondence, performing data entry, maintaining filing systems, and scheduling or arranging meetings and booking rooms.
Maintaining databases, reports, documents, and other office files for timely document retrieval.
Communicating and coordinating work between departments and outside sources.
Providing routine information related to the College’s programs, functions and events, departmental activities, and general College procedures and policies.
Assisting with the planning and execution of campus events, such as Student Orientation.
Following up on requests and tasks to ensure deadlines are met.
2. Supplies & Equipment Management
Monitoring, maintaining, and ordering general office supplies for the campus.
Liaising with external suppliers to coordinate maintenance and servicing of general office equipment.
3. Professional Standards & Compliance
Conducting themselves at all times with the utmost attention to professionalism, integrity, and respect for students, programs, colleagues, curriculum, and the College.
Possessing a clear understanding of, and upholding, all policies and procedures as reasonably adopted and amended from time to time by the College.
Demonstrating strong interpersonal skills in interactions with all college staff and students.
4. Additional Duties
Maintaining office appearance, organization, and cleanliness.
Performing departmental support duties as assigned (e.g., Finance or Admissions support).
Qualifications & Requirements
Education and Experience
High school graduation with basic training in office practices, customer service, and communication.
One or more years of experience in a similar administrative position.
An equivalent combination of education and experience may be considered.
Skills and Abilities
Effective verbal, written, and listening communication skills.
Thorough knowledge of MS Office suite, including Word, Excel, and Outlook.
Ability to exhibit a professional attitude and image with a commitment to quality service.
Ability to work effectively in a team environment and independently with minimum supervision.
Good command of basic math and keyboarding speed of at least 40 wpm with accuracy.
Ability to use various office equipment, including fax and photocopy machines.
Strong multi-tasking skills with the ability to complete work accurately and with close attention to detail.
Good judgment and ability to prioritize assignments effectively.
Ability to work under pressure and maintain a calm focus during hectic periods.
General understanding of the programs and services provided by the Company.
