Administrative Assistant

The University of Luxembourg is an international research university with a distinctly multilingual and interdisciplinary character.

The Luxembourg Centre for Systems Biomedicine (LCSB) is an interdisciplinary research centre of the University of Luxembourg.
We conduct fundamental and translational research in the field of Systems Biology and Biomedicine – in the lab, in the clinic and in silico. We focus on neurodegenerative processes and are especially interested in Alzheimer’s and Parkinson’s disease and their contributing factors. The LCSB recruits talented scientists from various disciplines: computer scientists, mathematicians, biologists, chemists, engineers, physicists and clinicians from more than 50 countries currently work at the LCSB. We excel because we are truly interdisciplinary, and together we contribute to science and society.

Your role

The assistant will provide high-level administrative support to research units and their researchers and will be part of the assistant team at the LCSB.

  • Provide professional administrative support to managers
  • Manage agendas and assist in resolving operational problems
  • Provide complete and correct up-to-date information on relevant topics, guide through and follow-up on processes by collecting necessary information.
  • Prepare and modify documents such as correspondence, presentations, reports, memos, etc.
  • Take care of incoming correspondence and follow-up Schedule and coordinate meetings, appointments and travel arrangements
  • Coordinate and process purchase orders, follow up on invoices and reimbursement of expenses
  • Management of office supplies
  • Update files, databases and other document types. Maintain complete and efficient records via electronic and hard copy filing system
  • Monitor and review data for quality check and organize necessary steps
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management
  • Help prepare reports and other projects as needed
Your profile
  • Higher Education degree or high school degree and equivalent professional experience in a comparable role
  • 3 to 5 years of hands-on administrative support experience
  • Service oriented mindset
  • Tactful, and diplomatic team player who can handle sensitive information with the highest degree of integrity and confidentiality
  • Fluency in English and French is essential. Knowledge of German is an asset
  • Proficient in Microsoft Outlook, Word, Experience with SAP and IT affinities
