Job Description

The Access to Care Program is currently seeking a full-time, permanent Administrative Assistant. Reporting to the Clinical Director, the Administrative Assistant will provide senior level administrative support to several leaders, including the Co-Chiefs of General and Health System Psychiatry and the Clinical Director. The successful candidate will be required to provide assistance on a wide range of confidential organizational, physician and program related projects and issues. The key accountabilities will include the coordination and maintenance of calendars; preparation of confidential letters, reports, presentations, CV’s, expense reimbursements, and a variety of other types of correspondence to internal and external stakeholders; minutes; responding to inquiries, concerns and messages. You will work collaboratively with and provide administrative support to the Access to Care Leadership team to ensure the successful operation of day-to-day activities/services within the department. Other duties include, but are not limited to, organizing and maintaining filing systems; managing confidential databases; managing resource expenditures; maintaining physician information; ordering supplies; and other duties as assigned. A high degree of discretion and confidentiality is required. An integral part of this job is liaising effectively with both internal and external stakeholders and being comfortable working with systems within and outside of CAMH, including the Department of Psychiatry at the University of Toronto. Job Requirements

The successful candidate will have a Post-Secondary Diploma in Office Administration or a related discipline, combined with 3 to 5 years of senior level administrative experience. The successful candidate will also have experience dealing with the public, excellent verbal and written communication skills; superior interpersonal skills and the ability to demonstrate sound judgment. This position requires confidentiality, initiative and tact, mature and independent judgment and a high level of administrative and communication skills. The successful candidate will have excellent organization skills with attention to detail and accuracy, particularly while multi-tasking in high-pressure situations and dealing with conflicting priorities. Strong problem-solving skills are required as well as the ability to remain calm and effective under pressure due to competing priorities and deadlines. You have the ability to work autonomously and prioritize your work activities while responding to multiple demands in a dynamic environment. The successful candidate must be flexible and willing to learn and adapt to different work assignments in a team setting as well as work well independently with minimal direct supervision. Advanced knowledge of Microsoft Office software packages is required. The ability to work effectively in a wide range of settings with individuals from diverse backgrounds is necessary. Bilingualism (French/English) or proficiency in a second language and experience working in academic health settings is considered an asset.
