Position Summary:
The Administrative Assistant provides essential clerical and administrative support to ensure smooth daily operations within the office and field teams. This position plays a key role in organizing company records, coordinating communications, and assisting with reports and documentation. The ideal candidate will be highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced construction environment.
Key Responsibilities:
- Provide administrative and clerical support, including answering phones, scheduling meetings, filing documents, and managing correspondence.
- Prepare and send reports, spreadsheets, and other project materials to engineers, municipalities, and internal departments.
- Perform data entry into spreadsheets and databases to keep project files accurate and up to date.
- Assist with vendor communication, purchase orders, and document preparation as needed.
- Maintain organized records of project logs, reports, and daily activity documentation.
- Track and log system activity, incident reports, and maintenance updates.
- Coordinate with field supervisors and management to ensure smooth workflow and timely completion of administrative tasks.
- Maintain confidentiality of sensitive company information and records.
- Support the management team with general office duties such as copying, scanning, and reviewing pipeline videos.
Qualifications:
- High school diploma or equivalent (Associate degree or certification in Office Administration, Business, or a related field preferred).
- 2+ years of administrative, assistant, or clerical experience; experience in a construction or utility environment a plus.
- Strong computer skills with proficiency in Microsoft Word, Excel, and Outlook.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication abilities.
- Ability to prioritize and manage multiple projects simultaneously.
- Professional demeanor with a proactive, team-oriented attitude.
Job Type: Full-time
Schedule: Monday–Friday, occasional weekends as needed
