SUMMARY
The Administrative Assistant is responsible for facilitating the efficient operation of the assigned division by providing comprehensive administrative support.
REQUIRED QUALIFICATIONS
- High School Diploma or equivalent
- Minimum of two (2) years of related experience
- Knowledge of office management systems and procedures
- Positive attitude, strong interpersonal skills, and the ability to multi-task
- Excellent written and verbal communication skills
- Strong organizational skills with particular attention to detail
- Proficient in Microsoft Office products; proficient in NetSuite and Oracle products a plus
PHYSICAL REQUIREMENTS
- Must be able to sit at a desk and work on a computer for prolonged periods of time
- Must be able to lift up to 15 pounds at times
DUTIES AND RESPONSIBILITIES

- Oversee and perform all administrative duties in the office and ensure the office is operating smoothly
- Perform administrative duties such as filing, typing, copying, and scanning
- Prepare communications, such as letter, memos, presentations, emails, invoices, reports, and other correspondence
- Greet and welcome visitors and guests as they arrive at the office
- Direct visitors and guests to the appropriate person and office
- Answer and forward incoming phone calls to the appropriate person or take messages
- Receive, sort, and distribute daily mail and deliveries
- Organize meetings and catering when necessary
- Prepares agendas and schedules for meetings
- Purchase office supplies and maintain proper stock levels
- Handle sensitive matters with a high level of confidentiality and discretion
- Process herbicide license renewals and applications
- Track and reconcile credit card payments
- Complete vendor and ACH applications
- Communicate with internal and external customers and vendors to discuss account statuses, charges, and discrepancies
- Receive and make payments
- Complete vendor and banking applications
- Maintain accurate and complete records, including ledgers, invoices, and receipts
- Speak with vendors and suppliers to ensure charges are accurate, and payments are received promptly
- Create and maintain files and records, as required
- Assist with projects as needed
- Perform other duties as assigned
