Administrative Assistant Iii - Development Services

Our Development Services Department is looking for a dedicated Administrative Assistant III to join our team.


Position Responsibilities

  • Responsible for all data entered by administration into system for permit submittals and approvals.
  • Prioritizing sensitive matters of compliance, of day-to-day activities for safety codes officers.
  • Oversees building application packages for edits or omissions when required.
  • Responsible of ensuring that all permits receive the required approvals as required.
  • Coordinate and Schedule officer(s) for inspections or investigation matters of compliance.
  • Collaborate with other City Departments to determine needs as a combined effort for onsite matters
  • Provide exceptional customer service, for both, internal and external customers.
  • Build and maintain positive relationships with all levels of staff, consultants, contractors’ lawyers, developers, architects, and the public.
  • Responsible for Issuing Certificate of Occupancies and ensuring proper file closure. Calculate fees and process Residential, Commercial. Industrial, & Institutional Projects within the City. Prepare Journal entries, refunds, cheque requisitions, when required.
  • Prepare Daily Financial Deposit for the Service Centre and submit to Finance for processing, when required.
  • Support management with day-to-day operations.


Qualifications

  • Knowledge of construction and terminology.
  • Ability to identify and interpret construction documents, professional schedules, and other required documentations for submittals.
  • Experience with Safety Codes Act, Permit Regulations, and Various City Bylaws, ability to multitask with frequent interruptions.
  • Problem analysis, decision making with a keen eye for detail.
  • Ability to remember large amounts of information pertaining to fees, bylaws, and procedures. Ability to
    remember previous clients, situations, and projects.
  • Demonstrates high degree of personal initiative, organization skills, integrity, and professionalism.
  • Ability to work independently and as a team.

Hours

The standard workweek consists of an average of 35 hours, with the specific schedule being determined by the immediate supervisor.


Compensation

Starting wage of $29.29 (C Band, Entry Step) per hour as per the Out-of-Scope Agreement.
