Job Description
Position Summary
The Administrative Assistant will provide high-level administrative and organizational support to the plant management team. This role will handle a variety of office tasks, coordinate internal and external activities, and ensure smooth day-to-day operations. The ideal candidate will be proactive, detail-oriented, and skilled in managing multiple priorities with discretion and professionalism.
Key Responsibilities
Administrative & Office Support
Perform general office tasks, including drafting correspondence, preparing reports, taking minutes, compiling statistics, creating presentations, and managing filing systems.
Maintain and update records in an organized and accessible manner.
Handle incoming and outgoing communications in a professional and timely manner.
Scheduling & Coordination
Organize and coordinate appointments, meetings, and business travel for internal stakeholders.
Manage calendars to ensure optimal use of time and resources.
Support planning and forecasting activities as required.
Organizational Support
Maintain the organizational structure in collaboration with internal teams.
Provide logistical and administrative support for external visitors, including travel arrangements and hospitality.
Participate in internal organizational projects, including process improvement and system enhancements.
Reporting & Decision Support
Prepare reports, dashboards, and summaries to support activity prioritization and decision-making.
Compile and analyze relevant data for management use.
Financial & Operational Support
Assist with cash management and travel expense accounting.
Support plant management in executing operational and administrative tasks as needed.
Qualifications
Qualifications
Education & Experience
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
Minimum of 3 years of administrative or office support experience, preferably in a manufacturing or corporate environment.
Skills & Competencies
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
Strong organizational and time management skills.
Excellent written and verbal communication abilities.
High attention to detail with the ability to handle confidential information.
Proactive problem-solving skills and ability to work independently or in a team setting.
