Job Description

Position Summary

The Administrative Assistant will provide high-level administrative and organizational support to the plant management team. This role will handle a variety of office tasks, coordinate internal and external activities, and ensure smooth day-to-day operations. The ideal candidate will be proactive, detail-oriented, and skilled in managing multiple priorities with discretion and professionalism.

Key Responsibilities

Administrative & Office Support

  • Perform general office tasks, including drafting correspondence, preparing reports, taking minutes, compiling statistics, creating presentations, and managing filing systems.

  • Maintain and update records in an organized and accessible manner.

  • Handle incoming and outgoing communications in a professional and timely manner.

Scheduling & Coordination

  • Organize and coordinate appointments, meetings, and business travel for internal stakeholders.

  • Manage calendars to ensure optimal use of time and resources.

  • Support planning and forecasting activities as required.

Organizational Support

  • Maintain the organizational structure in collaboration with internal teams.

  • Provide logistical and administrative support for external visitors, including travel arrangements and hospitality.

  • Participate in internal organizational projects, including process improvement and system enhancements.

Reporting & Decision Support

  • Prepare reports, dashboards, and summaries to support activity prioritization and decision-making.

  • Compile and analyze relevant data for management use.

Financial & Operational Support

  • Assist with cash management and travel expense accounting.

  • Support plant management in executing operational and administrative tasks as needed.

Qualifications

  • Qualifications

    Education & Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

  • Minimum of 3 years of administrative or office support experience, preferably in a manufacturing or corporate environment.

  • Skills & Competencies

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.

  • Strong organizational and time management skills.

  • Excellent written and verbal communication abilities.

  • High attention to detail with the ability to handle confidential information.

  • Proactive problem-solving skills and ability to work independently or in a team setting.
