The Mission:
At the Amal Youth and Family Centre, our mission is to provide innovative services that meet the needs of individuals, families, and communities. Through the Amal Unite & Empower Program, we deliver comprehensive employment and settlement support services for newcomers, community partners, and employers across Newfoundland and Labrador.
About the Role:
The Administrative Coordinator plays a vital role in ensuring the smooth operation of the Amal Unite & Empower Program. This role involves managing day-to-day administrative tasks, coordinating events, and serving as the central point of contact for internal and external stakeholders. By maintaining organized systems and fostering clear communication, the Administrative Coordinator helps the team deliver impactful programs and services. Reporting directly to the Manager, this position is ideal for someone resourceful, organized, and committed to collaboration.
Core Tasks/Responsibilities:
- Lead the organization and execution of events, including logistics, venue arrangements, food orders, and supplies.
- Collaborate with the Manager and team during the planning process to align events with program goals and expectations.
- Oversee event timelines, delegate tasks, and ensure seamless execution from start to finish.
- Manage team schedules, coordinate appointments, and handle day-to-day communication such as phone calls and emails.
- Produce, coordinate, and submit documents, including reports, forms, and meeting materials, to support program activities and operations.
- Maintain a welcoming and inclusive office environment for visitors and inquiries.
- Serve as the primary point of contact for community partners, employers, and stakeholders.
- Utilize tools like Microsoft Office, OneDrive, Slack, and HubSpot to streamline communication, manage participant data, and support team workflows.
- Handle printing, scanning, and other general office operations efficiently.
- Support the Marketing Coordinator with event promotion, program visibility, and managing social media inquiries.
- Communicate effectively and professionally with diverse populations, community partners, and stakeholders.
- Track and order office and program supplies, including event-related materials.
- Run errands to ensure smooth day-to-day operations as needed.
Qualifications:
- Diploma in office administration or a related discipline and 3+ years of experience, or an equivalent combination of education and experience.
- Proven ability to plan, organize, and execute events while collaborating effectively with a team.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills, with experience engaging diverse populations in a culturally sensitive manner.
- Proficiency in Microsoft Office, Slack, and experience with CRMs like HubSpot (or a willingness to learn).
- Resourceful, proactive, and able to work independently while contributing as a team player.
- A valid driver’s license and access to a vehicle.
- Flexibility to work as needed, including occasional evenings and weekends.
- Some travel may be required.
- Multilingual skills are considered a strong asset.
Salary and Benefits:
- Starting salary: $40,000 annually, with full benefits included.
