This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health (OMH), Columbia Area Mental Health Center (CAMHC), Adult Clinic Services, CAMHC #291.

As the Front Office Supervisor, working under limited supervision, you will be responsible for supervision and management of all customer service operations of the center including front office administrative staff and the medical records staff.


Responsibilities for the Front Office Supervisor Include
:

  • Provide supervision to all front office administrative staff. Manage, evaluate, and enhance operations of the reception areas of the center to support efficient and effective clinical service delivery. This includes providing and / or ensuring back-up coverage for admin staff across the center
  • Develop and manage administrative processes to include data entry, collecting necessary information from patients including insurance information and information needed for fee reductions, scheduling of appointments for clinical staff, and collection of fees.
  • Ensure administrative support staff provide a welcoming, professional, and patient-centered environment across all clinics. Establish and monitor customer service expectations, coach staff in respectful and compassionate interactions, address service concerns promptly, and promote practices that enhance patient satisfaction, dignity, and access to care.
  • Oversee the medical records staff. Ensure processes used adhere to HIPAA, corporate compliance, and quality assurance standards.
  • Monitor kept appointment rates. Utilize information from reports and information collected from patients to identify trends related to kept appointment rates and to problem solve barriers that result in failed appointments. Consult with center leadership and clinic / program directors regarding patient engagement and show rates.
  • Recruit, develop, and retain a competent, culturally diverse, motivated, and productive workforce.
Position is considered essential and may be called back during crises/disasters/emergencies

Minimum and Additional Requirements

  • A bachelor's degree and four (4) years experience in supervision / management of administrative staff or an associate's degree with eight (8) years experience in supervision / management of administrative staff.
Additional Requirements:
  • Ability to lift 5lbs.
  • Ability to operate a state vehicle (as applicable to position).

Preferred Qualifications

  • Bilingual abilities in English and Spanish (or another language) are a plus.

  • The ability to demonstrate professionalism, organizational skills, and initiative.
  • Knowledge of principles and practices of effective supervision.
  • The ability to communicate effectively.
  • The ability to obtain required information from patients, often under stressful conditions, and ensure all patients are treated with curtesy and respect.
