About the Role:
We are seeking a highly organised and proactive Administrative Officer to coordinate and undertake a broad range of administrative activities that support the day-to-day operational effectiveness of a school, area, or functional unit.
This role serves as the main point of contact for the functional area and is responsible for delivering comprehensive administrative and general support services. The successful candidate may also provide high-level personal assistance to senior staff and will support contract administration responsibilities under the Accommodation Master Operating Agreement (MOA) on behalf of the Director.
Your responsibilities will include:
- Establish and maintain efficient administrative processes and practices.
- Interpret and advise on processes and procedures for internal and external stakeholders.
- Coordinate meetings, local events, and manage senior staff diaries where relevant.
- Prepare and distribute reports and documentation, including briefing papers, minutes, agendas, and correspondence.
- Provide administrative and logistical support for projects and discrete initiatives.
- Manage communications and correspondence professionally and in a timely manner.
- Maintain shared information repositories and ensure document currency.
- Coordinate internal events, including venue sourcing, catering, suppliers, and promotional activities.
- Oversee matters relating to physical resources and maintenance requirements.
- Arrange and coordinate staff and visitor travel in accordance with University Travel Procedures.
- Support budget administration and monitor expenditure.
- Identify and escalate critical information and developments to the line manager.
- Proven experience in administrative support within a complex organisation.
- Strong organisational and time-management skills, with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy in documentation and record-keeping.
- Experience coordinating meetings, events, and senior executive support.
- Confidence working with contracts, governance documentation, or compliance processes (desirable).
- Proficiency in Microsoft Office and shared document management systems.
- A collaborative and professional approach to stakeholder engagement.
- As this is a continuing (permanent) role, you will require permanent work rights in Australia to be considered

This Continuous part time G05 role attracts a remuneration of $83,283 - $91,103 (G05) pro-rata + 17% superannuation.
