About the Role:
As the Administrative Officer, you will play a central role in supporting the day-to-day operations of a school, area or functional unit. Acting as a key point of contact, you will help keep administrative activities running smoothly and efficiently, while providing high-quality support across the team. In some cases, this may also include delivering comprehensive personal assistance to senior staff.
In this role, you will support the Business Manager, Industry and Community Hub, and collaborate closely with the Hub’s Work Integrated Learning (WIL) teams to help deliver impactful practice-based learning initiatives for the Faculty of Business and Law.
You will contribute to the administration, coordination and delivery of activities that expand and enhance WIL opportunities for students. This varied role includes supporting internships, business clinics, industry projects and global experiences such as study tours, semester exchanges and short courses. Working with internal teams as well as external stakeholders and partners, you will help build and maintain strong relationships that enrich the student experience and strengthen the Faculty’s industry and community connections.
Your responsibilities will include:
- Establish and maintain efficient administrative processes across the area.
- Provide guidance and supervision to administrative/clerical staff as required.
- Interpret and communicate procedures, providing advice to internal and external stakeholders.
- Coordinate meetings, events, and (where relevant) manage senior staff diaries.
- Prepare, publish, and distribute reports and documentation (e.g. agendas, minutes, briefing papers, correspondence).
- Undertake research, data collection, and information collation to support area activities.
- Provide administrative and logistical support for projects and operational activities.
- Manage internal and external communications, ensuring timely and professional distribution.
- Maintain and update shared information systems and document repositories.
- Coordinate internal events, including venues, catering, suppliers, and promotional activities.
- Oversee local resource and maintenance coordination for the area.
- Coordinate travel arrangements in liaison with the University Travel Team, ensuring compliance with procedures.
- Liaise with key stakeholders (HR, Finance, Properties, Corporate Relations) to support business operations.
- Support budget administration and reporting in conjunction with the line manager.
- Monitor and escalate critical information and developments to management.
- Undertake additional duties consistent with the role as required.
- Administer and support initiatives and procedures designed to enhance the faculty of Business and Law’s WIL student experiences.
- Contribute to the development of resources that will benefit students and promote unique WIL opportunities.
- Implement and evaluate programs and related activities, including working with appropriate CRM, database systems) to capture and report information accurately.
- As this is a continuing (permanent) role, you will require permanent work rights in Australia to be considered

This Continuous G05 level role attracts a remuneration of $83,283 - $91,103 + 17% superannuation.
