Position Summary & Responsibilities

The Administrative Specialist position in the Policy, Procedure, and Compliance (PPC) department is responsible for selecting primary documentation necessary to demonstrate NCF compliance with policies and procedures of KDOC and ensures all documentation also remains compliant with the rules, regulations, and codes of various agencies, including the Office of the State Fire Marshal.

The administrative specialist maintains all computerized data in an orderly manner to ensure compliance with all regulations and policies. This position is responsible for maintaining the filing system of all hard-copy versions of documentation generated and received by the PPC Office, tasked with conducting semi-annual audits of the PPC Office files, and ensures all files are retained in accordance with the facility's retention guidelines. This position generates notification for the release of various publications from the PPC Office, including notifications regarding the release of updates to IMPPs, General Orders, Post Orders, and other policy and procedural forms and documentation, notifications regarding all state-mandated fire drills required to be conducted at the Central and East Units, and correspondence regarding weekly and monthly Health and Safety inspection assignments and documentation.

Minimum Qualifications: Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

Post-Offer, Pre-employment Requirements: Must have a Valid High School Diploma or Equivalent. Must be able to perform the essential functions of the position. Must take and pass drug screen, background check, and Tuberculosis (TB) test. Must be a current United States Citizen.
