About the role
We are looking for a Advisor Shipping Documentation to support the operational delivery of the commercial services function to support and optimize the commercial activities of the business.
Reporting to the Supervisor Order Management & Shipping Documentations, you will:
Execute the Shipping Documents process and ensure shipping documents are accurate and available for shipments on a timely basis.
Liaise with shipping agents and Rio Tinto Marine team to guarantee prompt and accurate shipping document issuance.
Manage export declarations and shipping customs clearance.
Execute delivery/discharge control documentation (e.g., LOI, Letter of Undertaking (LOU), conditional release note).
Proactively identify business initiatives and automation improvements to enhance business value and experience for internal and external stakeholders.
Perform data analysis and reporting activities in a timely and accurate manner.
Training and monitoring new joiners in the team to ensure the desired performance is reached.
Conduct root cause analysis and implement preventive measures with a continuous improvement mindset.
Act as a key point of contact to improve communication and processes between Commercial Services and various stakeholders, such as Rio Tinto Marine/agent teams.
Knowledgeable and experienced in relevant export documentation processes, including Bills of Lading, Statement of Fact, customs clearance documentation, Letter of Indemnity, Letter of Undertaking, etc.
Maintain up-to-date knowledge of changes in shipping regulations and marine industry standards in collaboration with other functions (e.g,. internal and external Marine partners, Legal, etc.)
Apply professional knowledge to adhere to the documentation process and performance clauses (SLA’s) to ensure customer and contract obligations are fulfilled.
Support the implementation of knowledge management systems to capture up-to-date process flows and Standard Operating Procedures.
Contribute to and support our MERP transition and implementation.
About you
To be successfully considered for this role, you will have:
Degree in relevant discipline (or equivalent experience).
At least 5 years of commercial and/or finance experience in a large multinational with previous experience working with shipping agents and shipping documentation.
Excellent verbal and written communication skills and ability to reach out and build collaborative stakeholder relationships across different levels.
Strong experience and background in the Commodity Industry, preferably in bulk commodities.
International trade documentation, Supply Chain, and Trade Finance knowledge are essential. Proficiency in Incoterms and UCP600.
Ability to work well ina matrix environment and be a good team player.
Strong analytical and problem-solving skills.

Headquartered in Singapore, and integrated with Rio Tinto’s assets, hubs, and offices globally, our Commercial group works hand-in-hand with our product groups to ensure both the amount and types of products we produce meet our customer’s needs, and manage the trade-off between volumes, quality,cost and capital expenditure.
