We are seeking a detail-oriented and hands-on Assistant Controller to join our growing commercial HVAC organization. This position will manage the company’s accounting operations, financial reporting, month-end close, job costing, and internal controls.

The ideal candidate has strong accounting experience in a construction, mechanical contracting, HVAC, or other project-based environment and understands the unique financial requirements of contract-based businesses. This role will work closely with operations, project management, service, purchasing, payroll, and executive leadership to ensure accurate and timely financial information. This is a role where you are directly involved in performing tasks and actively contributing to the work, rather than just supervising or delegating.

Key Responsibilities

Accounting & Financial Reporting

  • Handle the overall accounting function and day-to-day financial operations.
  • Manage and review general ledger activity, account reconciliations, journal entries, and accruals.
  • Support the preparation of monthly, quarterly, and annual financial statements.
  • Assist with month-end and year-end close processes.
  • Analyze financial results and identify significant variances, trends, and unusual activity.
  • Maintain accurate accounting records in accordance with company policies and applicable accounting standards.
  • Assist with cash flow forecasting and working-capital management.

Job Costing & Project Accounting

  • Oversee and review job-cost accounting for commercial HVAC projects.
  • Monitor labor, materials, subcontractors, equipment, and other project costs.
  • Review project profitability, gross margins, work-in-progress, and cost-to-complete estimates.
  • Partner with project managers to investigate budget variances and improve job profitability.
  • Assist with percentage-of-completion accounting and revenue recognition, as applicable.
  • Review change orders, committed costs, purchase orders, and project-related accruals.

Accounts Receivable & Accounts Payable

  • Provide oversight and support for A/R and A/P functions.
  • Monitor customer collections, aging reports, retainage, and disputed invoices.
  • Review vendor invoices, payment runs, and account reconciliations.
  • Help establish and maintain effective billing and collection procedures.
  • Ensure accurate and timely customer billing for service work and construction projects.

Payroll & Compliance

  • Process weekly and semi-monthly payroll, including reconciliation of payroll-related accounts.
  • Review labor allocations and ensure payroll costs are properly assigned to projects.
  • Support compliance with applicable tax, insurance, bonding, and regulatory requirements.
  • Coordinate with external auditors, CPAs, banks, insurance providers, and other financial partners as needed.

Internal Controls & Process Improvement

  • Maintain and strengthen accounting policies, procedures, and internal controls.
  • Identify opportunities to improve accounting processes, reporting, and system utilization.
  • Assist with implementation and optimization of ERP/accounting systems.
  • Develop and maintain financial reports and management dashboards.
  • Ensure appropriate segregation of duties and proper authorization of financial transactions.
  • Maintain excellent attendance and time management

Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • 5+ years of progressive accounting experience, preferably with experience in commercial construction, HVAC, mechanical contracting, or another project-based industry.
  • Prior experience at the Senior Accountant, Accounting Manager, Assistant Controller, or similar level preferred.
  • Strong understanding of general ledger accounting and financial statement preparation.
  • Experience with job costing, WIP reporting, percentage-of-completion accounting, or contract accounting strongly preferred.
  • Strong Excel skills, including pivot tables, lookups, and financial analysis.
  • Experience with a SAGE/accounting system; experience with construction or service-management software is a plus.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent attention to detail and ability to meet deadlines in a fast-paced environment.
  • Ability to communicate effectively with both accounting and non-accounting personnel.
  • High level of integrity, confidentiality, and professionalism.

Job Type: Full-time

Pay: $110,000.00 - $125,000.00 per year
