Overview
We are seeking a dedicated and detail-oriented Assistant Property Manager to join our team that enjoys a fast pace environment and a blend of desk time and being on properties. This role is essential in supporting the property management operations and ensuring a high level of service to our residents. The ideal candidate will have a strong background in property management, customer service, and administrative tasks, with knowledge of relevant regulations and software systems.

Job description

As an Assistant Manager for a mixed portfolio:

  • Assist the Property Manager in day-to-day operations for a diverse portfolio, including HOAs, COAs, and commercial properties
  • Provide a high level of customer service and care to residents, tenants, and board members, ensuring timely and professional communication
  • Answer telephones promptly, assisting residents/tenants with questions, concerns, and service requests
  • Input, process, and close work orders for landscaping, maintenance, housekeeping, and other service vendors
  • Track and document resident/tenant issues to help identify recurring problems or service trends
  • Maintain digital property files and documentation via SharePoint
  • Attend Board meetings as needed and assist in the preparation of meeting materials
  • Create and distribute resident/tenant communications such as notices, reminders, and announcements
  • Post newsletters, updates, and notices using the property management software portal
  • Maintain and update homeowner and tenant databases, mail instructions, rosters, and physical/digital files
  • Assist in the review of leases and process new owner approval and interview packages
  • Review receivables and aging reports; assist residents/tenants with account balance inquiries and work with them on collections
  • Coordinate with the Community Association Manager to prepare and forward collection packages to legal counsel as necessary
  • Conduct routine property inspections as directed, ensuring compliance with maintenance and safety standards
  • Ensure all safety precautions and procedures are followed in accordance with company policy and local regulations
  • Support in planning and executing community meetings, events, and vendor coordination
  • Collaborate with vendors, maintenance teams, and contractors to ensure service levels meet expectations
  • Perform additional administrative and operational duties as assigned by the Community Association Manager

Requirements:

  • Previous experience in property management or in an administrative role preferred
  • Knowledge of clerical procedures and office management systems
  • Proficiency in using Microsoft Office and Outlook or similar software
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Excellent communication skills, both verbal and written
  • Customer service mindset with attention to detail and accuracy in work
  • Ability to work independently as well as part of a team

Job Type: Full-time, in person. Corporate office based in Boca Raton with expectation to drive personal vehicle (with mileage reimbursement) to locations ranging from Palm Beach County to Broward.
