Position Summary:

The Sales Assistant provides administrative support to the Commercial teams and often one or more functional areas. Under limited supervision, and on own initiative, demonstrates leadership, performs non-routine and complex advanced administrative professional duties, often of a confidential nature.

The Sales Assistant provides support to the HR Business Partner for all the administrative HR topics and administration of Payroll by preparing all the relevant documentation for the monthly payroll.

Responsibilities:
  • Prioritizes and executes tasks (many deadline driven) with minimal direction and supervision
  • Ability to independently answer detailed questions regarding office operations and established policies and procedures including confidential requests.
  • Ability to organize and coordinate logistics for in-person and virtual meetings (large and small), conferences and travel.
  • Maintains and coordinates calendar and travel schedules; scheduling meetings
  • Develops spreadsheets/reports using advanced features of applicable software
  • Assists as needed in managing purchase orders and budgets
  • Arranges travel and manages expense reports
  • May review and prepare correspondence, reports and presentations
  • Organizes and maintains electronic documents and paper files.
  • Prepares and controls in collaboration with Controllership Team all agents’ legal contracts.
  • Prepares and controls in collaboration with Finance and Controllership all agents’ Bonus Payments.
  • Coordinates the control of the local Sales Promotional plan, in collaboration with the Sales team & Controllership.
  • Prepares reports regarding customer agreements and contracts
  • Support the sales team to track, classify and process in the internal systems customers’ accounting documents
  • Prepare and submit new customer forms
  • Prepares all the mandatory documentation required for the colleagues on site, in collaboration with HR.
  • Prepares all the relevant documentation for the monthly payroll, in collaboration with HR.
  • Manages compulsory medical control of the employees (in line with the legislation) and of the site (law 626).
  • Handles confidential correspondences.
  • May also perform additional duties as assigned.
What we are looking for:

Required Skills and Experience

  • High school diploma or equivalent with emphasis in administrative professional and/or business courses
  • 5+ years of administrative experience.
  • Ability to manage multiple, sometimes conflicting, priorities in a fast-paced environment with an attention to detail and delivery of outcome
  • Professional, confidential and articulate
  • Excellent communication and interpersonal skills
  • Ability to work independently and with multiple levels within the organization
  • Excellent time management skills
  • Proficient in all MS Office Products
  • Limited supervision necessary

Preferred Skills and Experience

  • Certifications or courses in MS Office products
  • Technical HR knowledge (payroll management, legislation, etc)
