Benefits And Hris Specialist

Position Summary

EFF is seeking a Benefits and HRIS Specialist to administer the organization’s employee benefits program, which currently includes retirement plans, leave policies, wellness programs, and insurance policies such as health, life and disability. The Benefits and HRIS Specialist will also help administer the human resources and information management system (Paycom) and support the day-to-day processes related to the operation and function of the HR Team.

Essential Functions

Benefits Management (50%):

  • Administer EFF’s benefits plans and coordinate them with our insurance broker, update carriers on new enrollments and terminations, ensure EFF employees have a full understanding of our benefits offerings and help resolve staff questions regarding benefits and elevate to broker when appropriate;
  • Day-to-day administration of EFF’s 403(b) retirement plan, including audit and compliance requirements;
  • Administer EFF specific benefits such as the rental subsidy program, student loan assistance, and discretionary paid leave.
  • Execute annual open enrollment period in collaboration with the Human Resources Manager and EFF’s insurance broker;
  • Assist coordinating annual meeting between Labor Management Committee and EFF’s broker to discuss insurance plans before renewing them and before open enrollment;
  • Research and propose new benefits plans as requested by the Human Resources Manager or CPO;
  • Provide data analysis for benefits and make recommendations regarding effectiveness of benefits program and suggestions for changes and/or improvements;
  • Partner with the Human Resources Manager to complete annual workers compensation audit;
  • Update benefits-related information and policies on EFF’s staff HR SharePoint sites and HRIS announcement platform;
  • Administer leaves of absences including but not limited to FMLA, CFRA, PDL, EFF Discretionary Paid Leaves, etc.; and
  • Reconcile monthly insurance invoices with enrollment and plan data and coordinate payment with accounts payable.

HRIS Management & Payroll Support (40%)

  • In collaboration with the Human Resources Manager, maintain and manage HRIS software, currently Paycom. Actively maintain employee information across the employee full lifecycle (onboarding, offboarding, termination, etc.); review and approve qualifying event applications in a timely manner.
  • Build out multi-state onboarding profiles in Paycom to ensure organizational compliance when employees are hired in new states.
  • Assist other HR team members and others in the organization with building out checklists, etc., in Paycom as needed.
  • Attend all joint HR payroll meetings and assist in resolving payroll issues to facilitate a smooth payroll process.
  • Process payroll related tasks, handle benefits items, and generate reports as necessary by the HR and Accounting Teams for each pay period.
  • Ensure all employee payroll changes are documented through PAFs or other documentation with Paycom prior to the payroll closing date.
  • Conduct periodic audits to ensure the data integrity across platforms (HRIS, Benefits Admin system, Vanguard and other vendor platforms).
  • Analyze and monitor data to recommend and implement process improvements.
  • Partner with the HR and Accounting teams to administer requests for sick days, time off, and leaves of absence, as well as any changes in compensation or related changes including termination or leave of absence, employee benefit deductions, set up of new benefits, etc.
  • Provide quarter-to-date and year-to-date PTO reports to each team leader for their teams on a monthly basis.
  • Develop and maintain a variety of reports as requested by the Chief People Officer, the Human Resources Manager, and other team leaders.

Other Functions (10%)

  • Act as the first point of contact for most HR inquiries and forward to the appropriate party;
  • Serve as a resource to staff for HR policies, procedures, and practices; and
  • Other projects and tasks determined in collaboration with the Human Resources Manager.

Required Education & Experience

  • Significant experience administering benefits
  • Significant experience with HRIS systems
  • High level of organization, attention to detail, and follow-through
  • Strong time management skills
  • Experience exercising discretion and confidentiality with sensitive information

Preferred Education & Experience

  • Human resources certification (PHR, SHRM-CP, or similar)

Classification: Exempt, Full-time (40 hours/week)
Compensation: $110,000 to $116,700 Depending on experience
Expected hours of work: Typically Monday - Friday
Reports to: Human Resources Manager
Supervisory Responsibilities: None
Location: This position may work at our offices in SF or remotely from anywhere within the Bay Area. One day per week in the office may be required. Attendance at special events and meetings may be required from time to time.
Travel: EFF hosts two one-week all-staff gatherings in the Bay Area each year in the spring and fall, and all staff are expected to attend.
