Position Summary

We are seeking an experienced Billing Specialist with strong knowledge of trucking operations and hands-on experience using TransPlus (Fleet Manager) software. The ideal candidate will have a solid understanding of transportation billing, rate confirmations, POD processing, and cross-border invoicing, along with strong attention to detail and organizational skills.

This role is essential to ensuring accurate, timely billing and maintaining healthy cash flow for the company.

Key Responsibilities:

Transportation Billing & Accounts Receivable

• Generate and process customer invoices using TransPlus (Fleet Manager)
• Review and verify load details, rate confirmations, fuel surcharges, and accessorial charges
• Ensure accurate billing for FTL and LTL shipments
• Attach and validate PODs, BOLs, customs documents, and supporting paperwork
• Submit invoices through customer portals and via email
• Monitor AR aging reports and follow up on outstanding balances
• Communicate with brokers and direct customers to resolve billing discrepancies
• Maintain organized electronic records of billing documents

Cross-Border & Documentation Handling

• Ensure proper documentation for U.S. cross-border shipments
• Verify mileage, currency exchange (if applicable), and applicable taxes
• Review detention, layover, TONU, and other accessorial billing items

Reporting & System Management

• Maintain accurate records within TransPlus
• Reconcile completed loads before invoicing
• Generate billing and revenue reports as required
• Coordinate with dispatch and operations to confirm load details

Support Functions

• Assist with basic bookkeeping entries related to accounts receivable
• Support month-end revenue reconciliation
• Maintain confidentiality of financial and customer information

Required Qualifications

• Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred)
• Minimum 1–2 years of trucking industry billing experience
• Hands-on experience with TransPlus (Fleet Manager) – REQUIRED
• Strong understanding of FTL/LTL freight billing
• Experience with cross-border freight documentation
• Proficiency in Microsoft Excel
• Experience with QuickBooks (asset)
