About the Role

PartsAvatar is looking for a high-energy, detail-oriented Business Relationship Manager to take full ownership of our supplier ecosystem (primarily based out of GTA).You won’t just be "managing" accounts; you will be the driving force behind our supply chain’s reliability. You will serve as the primary point of contact for all operational and service matters, ensuring our suppliers meet the rigorous standards required to keep our customers happy.

Key Responsibilities1. Supplier Relationship & Communication Management

  • Total Ownership: Own the end-to-end supplier relationship, from daily operational communication to long-term performance strategy.
  • Primary Liaison: Serve as the main point of contact for suppliers across all operational, service, and relationship matters.
  • Advocacy & Firmness: Communicate professionally yet firmly to address concerns, push for updates, and drive timely action.
  • Strategic Partnerships: Build rapport to improve supplier responsiveness and reliability, ensuring business continuity.

2. Issue Resolution & Investigation

  • Root Cause Analysis: Investigate issues (delayed/incorrect shipments, missing items, pricing discrepancies) by gathering data and identifying the "why" behind failures.
  • Resolution Tracking: Follow up persistently on pending matters; track open issues from start to finish to ensure full accountability.
  • Corrective Action: Escalate recurring problems and implement clear action plans to prevent repeat incidents.

3. Order Flow & Fulfillment Oversight

  • Execution Monitoring: Oversee the supplier order flow to ensure purchase orders are acknowledged and shipped on time.
  • Proactive Mitigation: Identify potential delays or stock concerns early and take action before they impact customer orders.
  • Logistics Coordination: Support carrier coordination regarding pickups, shipping timing, and transportation hurdles.

4. Performance Monitoring & Accountability

  • Data-Driven Reviews: Monitor performance using KPIs such as fill rate, turnaround time, order accuracy, and service reliability.
  • Performance Improvement: Identify underperforming suppliers and lead structured follow-ups or process changes to bring them up to standard.
  • Reporting: Maintain meticulous records of communication and prepare internal summaries on supplier trends and operational risks.

5. Cross-Functional Collaboration & Commercial Support

  • Internal Alignment: Work closely with Catalog, Logistics, Finance, and Operations teams to ensure supplier activities align with business priorities.
  • Commercial Support: Assist in negotiations regarding pricing, lead times, and shipping terms while protecting the company’s commercial interests.
  • Process Scalability: Ensure supplier processes are organized, consistent, and scalable as the company grows.

Requirements & Qualifications

  • Experience: 3-5 years in supplier management, supply chain operations, or procurement.
  • Communication Style: Exceptional verbal and written communication skills with the ability to be assertive when necessary.
  • Analytical Mindset: Proficiency in using spreadsheets and internal reporting tools to track data and manage workflows.
  • Problem Solver: A "no-stone-unturned" approach to investigating issues and a high level of urgency in resolving them.
  • Organization: Proven ability to manage multiple supplier threads and operational priorities simultaneously without losing track of details.
