Job Description:
The Wheelchair Case Coordinator provides customer service, technical and operational support to the Wheelchair shop at Intermountain Homecare. Maintains a good working knowledge of wheelchair products and acts as a resource for patients, physicians, nurses and other staff about the features and limitations of wheelchairs. Responsible for seeing paperwork through from start to finish for the wheelchairs and other equipment that is provided by Intermountain Healthcare, and for communicating with the clients and referral sources to provide updates as they track where the equipment is throughout our workflow, ordering and delivery process. The Case Coordinator is also responsible for getting paperwork (quotes and workorders) from the seating specialists and building a file for the client with all needed documentation that each client’s insurance requires.The Wheelchair Case Coordinator is responsible for collecting and documenting orders and updates in the patient’s medical record, which includes capturing all communication with all parties involved in each case, prescriptions, Doctor’s notes and face-to-face notes and all letters of medical necessity from both therapists and / or doctors. Adherence to patient privacy policy and processes are essential for this position.
The Wheelchair Case Coordinator will also work with our pre-authorization department to make sure all required documentation is collected and passed on to them and ensure collect and track documentation from the doctor and therapists to help refute insurance denials. They communicate with the client about what items have been approved or denied and give the client information about what options are available which will meet their needs, including providing information to the client options to privately pay for denied items, educating and help coordinating the many financial resources available to help them, coordinating case timelines and coordinating patient and provider expectations, alleviating frustrations and unrealistic expectations that may arise.
The Wheelchair Case Coordinator position requires a strong customer service mindset and strong oral and written communication skills as it will be a liaison between physicians, therapists, and seating specialists who need information and documentation. The Coordinator is expected to keep tight timelines and adhere to deadlines to ensure timely delivery of equipment and be an integral member of the team responsible for timely and accurate paperwork submission and be familiar with and work within insurance requirements in an effort to provide a positive client / patient experience.

Minimum Qualifications
- Two years of customer service experience.
- Two years of medical equipment experience.
- Demonstrated strong oral and written communication skills and the ability to work with tight timelines and adhere to deadlines.
- Demonstrated basic understanding of clinical, medical and insurance terminology.
- Demonstrated excellent computer skills to include word processing, spreadsheet, email, and calendar, software programs.
- Demonstrated excellent telephone and customer service skills.
- Demonstrated ability to be organized, set priorities, work independently, and be a self-starter.
Preferred Qualifications
- Demonstrated experience with CPR Plus, Icentra, Internet Based Insurance Portals.
- Wheelchair provision, manufacturing and repair experience.
- Bilingual Spanish and English
