Job Title: Child and Adult Care Food Program Assistant
Reports to: CACFP Coordinator
Essential Functions
Conditions Standards Process monthly provider claims (Homes and Centers) KidKare.com, Tennessee Information Payment System (TIPS), Calculator, communication via phone and email, Problem solving, Copy and Fax, Data Entry, CACFP Handbook.
- Process and complete all provider claims by the set pay schedule (5th and 10th monthly) or within 3 business days of receiving the claim.
- Review and correct all disallowances and warnings on claims if applicable.
- submitted through Kidkare.com
- Input claim information into TIPS upon receipt of the claim.
- Resolve inaccurate information on claims by communicating with supervisor, providers and monitors when needed.
- Input, generate and fix claim for paper claim providers. Also ensure the menu provided meet program requirements.
- Make copies, put in numerical order, initial and submit to accounting by 10am on the 5th and 10th of each month.
- Once proof of payment is received from the accounting department, put together the voided check and the Office Error Report and mail to all providers. Prepare and distribute annual provider renewal and Holiday packets Kidkare.com, Word, Excel, Communication with providers via phone and email, copier/scanner, SharePoint, Tennessee Information Payment System (TIPS), time management
- For renewal packets- Run reports through KidKare.com, print, copy, and send to providers annually.
- For renewal packets – Keep track of provider submissions by use of Excel Spreadsheet. Contact providers who are missing documentation.
- For Holiday packets – print and copy letters. Pack envelopes with items, place postage and mail out. General communication with providers KidKare.com, email, fax, phone • Answer and return phone calls within 24 hours of receipt
- Assist with general KidKare and Brighton Online Training technical issues.
- Contact KidKare Support when needed. • Sending information and documentation to providers. Processing child enrollment forms and income eligibility applications (homes and centers) KidKare.com, calculator, email, fax, phone, copier/scanner, paperless filing system, verbal communication, data entry, handling of sensitive information.
- Activate, correct (if needed) and scan into paperless filing system.
- Contact providers to obtain enrollment information when it is due and/or for corrections. • Generate monthly child enrollment report and go through each child to ensure their enrollment date is correct and within date. Contact providers to let them know which children will need a new enrollment form.
- For centers, enter data into KidKare.com to determine program eligibility, fill out application and scan into paperless filing system.
- For Homes, enrollments are due upon initial child enrollment and then annually in April thereafter.
- Center enrollments are completed upon initial child enrollment and annually from their enrollment date thereafter. Attend training sessions Brighton Online Training, Webex, Zoom, National CACFP Sponsors Association, Tennessee Department of Human Services, and some travel.
- Register and attend annual online training sessions through Brighton Online Training Group.
- Register and attend courses offered by DHS and the National CACFP Sponsors Association.
- Attending in person and online training as available and requested. • Attend the annual CACFP conference via in-person or online. Provide reminders for childcare providers on monthly and/or annual deadlines KidKare.com, Word, Tennessee Information Payment System (TIPS), Outlook, fax, phone, copier/scanner, Excel, printer, postage machine, Brighton Online Training Group, SharePoint.
- Communicate with providers via phone, email and KidKare messaging.
- Upkeep various Excel spreadsheets to ensure timely communication is made to providers regarding deadlines.
- Utilize the call log to keep documentation of all phone communication. Gathering and distributing CN labels and/or Product Formulation Statements to all providers. Also completing Milk Audit and receipts from providers KidKare.com, Excel, communication via phone and email, organizational skills, communication with manufacturers of products
- Collect food product information from providers (food brand, type, UPC Code).
- Contact the manufacturer to obtain either a CN Label, PFS, or verify if a food is not CN Labeled. • Input CN Label/PFS into an Excel Spreadsheet and save picture of food.
- Send Excel spreadsheet and photo of food to all providers for them to keep on file
- Update CN Labels/PFS annually • Completing a Milk Audit monthly to ensure the provider is serving enough milk.
- Keep organized provider food receipts monthly (centers).
- Ensure all milk substitution forms are on file and up to date Prepare annual provider training documentation Kidkare.com, Excel, SharePoint, Brighton Online Training Group
- Keep track of provider training completion through Brighton Online Training Dashboard using Excel.
- Communicate reminders and deadlines with providers via phone and email. Manage, update and store provider files Organizational skills, KidKare.com, general computer skills, printer, scanner, handling of sensitive information, Word.
- Add new applicants, agreements, licenses to existing provider files (physical and digital).
- Complete internal audits of provider files to ensure compliance with program regulations
- Remove terminated providers as needed and place them in a secure location for 3 years plus the current year. Travel to providers Agency vehicle
- Travel to provider day cares to check in • Our goal is to visit 30 providers a year: 10 for each office employee Auditing procedures Knowledge of program, TIPS, Communication with DHS, SharePoint, Paperless filing system, computer/printer knowledge
Communicate with the supervisor and assist with preparing documentation that is being requested from DHS.

- General knowledge of Child and Adult Care Food Program Policies and Procedures as dictated by the USDA and DHS
- General knowledge of Child Nutrition and requirements as dictated by the USDA Minimum Requirements • Relevant administrative, childcare, or nutrition experience (required)
- Prolonged periods of time working on a computer and sitting or standing at a desk (required)
- High School diploma or equivalent (required)
- Experience with Microsoft 365 and Excel (required)
NOTE: This position requires a criminal background check. Therefore, applicants may be required to provide information about their criminal history to be considered for this position. Work Environment This position operates in a professional office setting. This position does require some travel (with use of an agency vehicle).
Position Type and Expected Hours of Work This is a full-time position at 37.5 hours per week.
