Job Description
Children/Youth Programs Coordinator
Reports To: Programs and Strategic Development Director
Summary:
The Children/Youth Program Coordinator will work closely with the Heartland Forest team to develop, manage, and deliver children and youth programming, including school and other group bookings, adventure camps, and educational activities at signature events and within recreational and community programs. This position will manage all administration, scheduling, delivery and development of children's and youth programs offered by Heartland Forest.
Responsibilities:
1. Program Development and Delivery
- Develop children/youth programming that meets curriculum, developmental and community standards/needs.
- Collaborate with the Forest Discovery Director (FDD) to design and develop Forest Discovery-related programming that meets funding and organizational requirements.
- Facilitate and support the delivery of programming for schools, children, youth, families, and any other form of special interest groups.
- Facilitate and support the delivery of all programming in a manner that aligns with Heartland Forest’s mission, vision and values.
- Provide site support and oversight for the program area, equipment setup and clean up.
- Complete site inspections and provide oversight of the program area and equipment maintenance.
2. Program Administration
- Respond to inquiries or concerns related to children and youth programming in a timely and professional manner.
- Ensure all programming registrations and program fees/payments are tracked, processed and stored in accordance with Heartland Forest’s policies and procedures.
- Process program payments and communicate outstanding balances when required.
- Ensure all required program documentation, such as waivers, sign-in sheets, emergency contact sheets, consent forms, etc., are created, distributed and maintained in accordance with Heartland Forest’s record-keeping policies and procedures.
- Communicate as needed to registered families, agencies, and organizations by sending notices, welcome letters, surveys, etc.
- Assist as directed with record management for reporting purposes.
- Create informative signs, webpages or other forms of media as required to promote new and existing programs.
- Be aware of and explore funding opportunities related to children and youth programs.
- Inform the Social Media Coordinator of new programs or when program registrations open, and provide them with marketing materials as required.
Competencies:
- Demonstrated knowledge of school board policies, procedures and student curriculum expectations
- Excellent communication, customer service, problem-solving, leadership and presentation skills
- Ability to plan, organize and work effectively within a team environment
· Working knowledge of Microsoft Office products
- Consistent attitude of compassion for others
- Complies with all health and safety, departmental policies and procedures and all others applicable to Heartland Forest’s programs
- Deals courteously with incidents, problems and emergencies as outlined by departmental policies and procedures
- Responds to inquiries from parents/guardians, teachers, participants and the public when needed
- Deals courteously and effectively with the general public, staff and other departments
Education and/or Experience:
· Degree or diploma in Education, Outdoor Education, Recreation, Child and Youth Studies, or a related field, or relevant experiences.
· Experience in outdoor educational children’s programming
· First Aid and CPR certification required
· Clear vulnerable sector screening,
· Valid Ontario G Driver’s License and reliable access to transportation required.
· Knowledge of special needs programming is an asset
Safety:
· Support the corporate Occupational Health & Safety initiatives by incorporating safe work practices into daily work routine
· Report any unsafe conditions or observed unsafe work practices to the Operations Director
Work Conditions:
· Required to work outdoors, in a variety of weather conditions and walk distances over uneven terrain
· Required to work some evenings and weekends
· Must be able to lift 50lbs, some physical labour involved (moving firewood, chairs, tables)
