Working from our Melbourne office, you’ll be part of a collaborative team that values teamwork, continuous learning and delivering outstanding service. We invest in developing our people through cross-training, ongoing support and opportunities to broaden your skills across the entire Client Care function.

We’re looking for an enthusiastic and customer-focused Client Care & Bookings Coordinator to join our Melbourne-based Client Care team. This is an onsite role where your primary focus will be coordinating bookings, managing appointments and ensuring every client receives an exceptional experience from their very first interaction with us.

As the first point of contact for many of our clients, carers and referrers, you’ll play a vital role in helping people access allied health services across more rural and remote communities throughout Australia.

While bookings will be your core responsibility, you’ll also be cross trained across the wider Client Care function, giving you the opportunity to develop a broad understanding of our operations and provide support across multiple areas as our business continues to grow.

Key Responsibilities

Client Bookings (Primary Focus)

  • Coordinate appointments for clients across our national allied health services.
  • Manage inbound and outbound booking calls with professionalism, warmth and efficiency.
  • Liaise with clients, carers, referrers and clinicians to schedule appointments that meet clinical and operational requirements.
  • Ensure bookings are accurate, timely and aligned with service delivery expectations.
  • Proactively manage appointment changes, cancellations and rescheduling.

Client Care

  • Deliver exceptional customer service as the first point of contact for clients, carers and referrers.
  • Respond to enquiries promptly, creating a positive and supportive experience.
  • Resolve booking and general service enquiries efficiently.
  • Escalate complex clinical or funding enquiries to the appropriate teams when required.

Cross-Training & Team Support

  • Become cross-trained across the broader Client Care function to provide support where required.
  • Collaborate with colleagues to ensure seamless service delivery during periods of high demand.
  • Contribute to continuous improvement initiatives and help identify opportunities to enhance the client experience.
  • Support a positive, collaborative and solutions-focused team culture.
