We’re currently looking for an exceptional Client Services Coordinator to work from our Downtown Toronto studio.
How you'll make a difference:
- Reception Responsibilities:
- Greet and direct a high volume of incoming clients and guests in a professional and friendly manner
- With an attention to detail, maintain boardrooms, common areas and kitchen organization to ensure studio is business ready each morning and throughout the day.
- Provide timely assistance by phone, email or Teams.
- Ship, receive courier packages.
- Coordinate catering requests and meeting room set up.
- Liaise with vendors as required.
- Facilities Coordination:
- Provide facility support managing facility functions including follow up, coordination and close out of Beacon Facility Help Desk requests and/or as directed in a timely manner, work order coordination and database management.
- Work alongside People & Culture and IT to assist and coordinate on and off-boarding, manage and maintain the studio floor and seating plan.
- Inventory Management of office, kitchen and specialty supplies.
- Active member of the Toronto Studio Health and Safety Team.
- Provide assistance with coordinating internal events.
- Work collaboratively with library vendor to ensure that sample and resource libraries are kept up to date.
- Oversee plant maintenance and cleaning services are performed to schedule.
- Actively participate in internal event planning and execution
- Assist with special projects.
- Active member of the Carbon Reporting Team.
Who you are:
- Willingness to obtain security clearance.
- 2 -3 years of experience within facility or client services role.
- Creative thinker and problem solver.
- Joint Health and Safety certification would be an asset.
- Must be proficient in Microsoft Outlook, Word and Excel.
- Able to multi-task and demonstrate strong attention to detail.
- Professional presentation is a requirement for this role as you represent DIALOG to the public and to our valued clients.
- Excellent interpersonal skills are critical.
- Effective management of competing priorities.
- Previous experience in a professional services environment would be an asset.
