About Us
EPT Clinic is a specialist neurodevelopmental child and adolescent assessment and support service dedicated to helping children, young people, and their families, particularly in the areas of autism, ADHD, emotional regulation, dyslexia and more. As EPT clinic continues to grow, we are looking for an organised, friendly, and proactive Client Support & Administration Assistant to join our team.
This role is ideal for someone who enjoys helping people, keeping systems organised, and being at the heart of a busy and supportive clinical environment. You will play an important role in ensuring our clients receive a positive experience from their first point of contact through to the completion of their assessment journey.
Key Responsibilities
- Welcoming clients and families and managing front desk check-in.
- Responding to correspondence from the general public and managing the clinic inbox.
- Supporting families with queries and providing excellent customer service.
- Assisting with the daily management of clinician appointments and schedules.
- Assisting with client enquiries, payments, and general administrative support.
- Creating and maintaining accurate case files and folders.
- Managing and updating client records and internal tracking systems.
- Updating clinic systems and databases to ensure accuracy.
- Monitoring client journeys and ensuring administrative processes are completed efficiently.
- Preparing, issuing, and securely managing confidential documents and reports.
- Managing Garda Vetting administration.
- Reviewing, verifying and filing invoices and receipts.
- Maintaining complete confidentiality regarding medical records and personal information.
- Upholding and adhering to all policies and procedures.
- Supervising clients when required within the clinic environment.
- Carrying out alarm and fire alarm checks in line with clinic procedures.
- Supporting management with general administrative duties.
What We're Looking For
- Excellent organisational skills and strong attention to detail.
- Friendly and professional communication skills.
- Must have excellent communication skills, both verbal and written.
- Confidence using Microsoft Office and online systems.
- Ability to manage multiple tasks in a busy environment.
- Ability to work independently and manage multiple tasks.
- A proactive attitude with a willingness to develop and improve office systems.
- Strong customer service skills and a genuine desire to help families.
Required experience:
- Administration experience (either paid or voluntary).
- Experience with children (either personal or professional).
- Experience using I.T. systems, booking systems, excel, microsoft word, and other software.
