Job Title: Construction Administrative Office Assistant
Location: Syracuse, NY and Clay, NY
Employment Type: Contract/Project-Based (with potential for extension)
About Us:
We are a construction management consulting firm specializing in large-scale commercial and municipal developments and infrastructure projects. We’re seeking a highly organized and detail-oriented Construction Administrative Office Assistant to support our team with critical documentation, reporting, and coordination tasks.
Key Responsibilities:
- Manage and organize project documentation, including contracts, permits, change orders, submittals, and RFIs.
- Prepare and maintain project schedules, meeting minutes, and progress reports.
- Handle data entry, tracking logs, and filing systems (digital and hard copy).
- Communicate with contractors, vendors, and clients to ensure accurate and timely paperwork.
- Assist with invoice processing, budget tracking, and compliance documentation.
- Use construction management software, Microsoft Office Suite, and other digital tools to streamline workflows.
Qualifications:
- Proven experience in construction administration or a related field.
- Strong computer skills (Microsoft Office, project management or construction software such as Procore or Primavera preferred).
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills.
