Job Purpose

This is a great opportunity for a detail‑driven Contracts Administrator who enjoys working at the intersection of commercial, legal, and operational teams. In this role, you’ll manage the end‑to‑end contract lifecycle, support sound commercial decision‑making, and help strengthen governance and risk management across the business. You’ll work closely with a broad range of stakeholders, gain exposure to complex and high‑value agreements, and play a meaningful role in improving processes and outcomes. Job Duties and Responsibilities

Contract Administration
Drafting, reviewing, negotiating, and finalising contracts with customers, suppliers, and business partners in accordance with company policies and statutory regulations.
Conducting detailed contract analysis to optimize commercial results and ensure maximum value return while maintaining risk awareness.
Ensuring that contracts are compliant with internal standards, approved terms, pricing structures, and all relevant legal requirements.
Maintaining and continuously updating a centralised and auditable contract repository, enabling real-time tracking of contract milestones, renewals, and obligations.
Collaborating closely with Sales, Supply Chain, Legal, Pricing, and other departments to guarantee contract alignment with scope of work and budgetary frameworks.
Monitoring adherence to pricing commitments and managing risks associated with contract terms under Global Framework Agreements.
Internal Audit and Compliance
Designing and administering internal audit programs focused on contract management and associated financial controls.
Performing thorough audits to verify compliance with regulatory, statutory, and corporate policies.
Identifying potential risks, non-conformities, and opportunities for enhancement; delivering actionable reports and collaborating on remediation plans.
Supporting regulatory compliance efforts, including JSOX documentation, testing, and corrective action tracking.
Reporting and Process Improvement
Facilitating month-end financial close processes through reconciliation of contract transactions and commitments.
Generating detailed performance reports covering contract status, risk profiles, and audit results, enabling informed management reviews.
Forecasting cash flow based on contractual commitments and managing financial exposure accordingly.
Continually reviewing and enhancing contract management workflows, fostering efficiency and accuracy.
Conducting root cause analyses of contract discrepancies and implementing corrective and preventive measures to strengthen controls.
Leadership and Collaboration
Acting as a strategic partner to multiple departments including Sales, Support, Supply Chain, Marketing, and Corporate Services, building strong collaborative networks.
Providing mentorship and guidance to colleagues managing contractual obligations, enhancing team competence and accountability.
Policies and Procedures
Developing, implementing, monitoring, and updating company policies relevant to the Australian region to ensure compliance and best practices.
Leading initiatives to maintain compliance with the Modern Slavery Act, coordinating relevant activities and reporting.
Insurance Coordination
Managing insurance and risk obligations in coordination with global insurance teams and local brokers to protect company interests.
Overseeing insurance claims processes, ensuring timely and efficient completion of required documentation and follow-up.
Company Secretarial Responsibilities
Administering company secretarial duties, maintaining compliance with corporate governance legislation.
Organising, chairing, and preparing materials for Board of Directors meetings, ensuring legislative and procedural adherence.

Required Skills

  • Proven experience in contract administration, commercial management, or related fields within sectors such as mining, technology, or industrial services, demonstrating a comprehensive understanding of contractual frameworks.
  • Tertiary qualifications in business administration, law, finance, or other relevant disciplines, providing solid academic grounding for the responsibilities of the role.
  • Extensive experience in internal audit processes, risk management methodologies, and ability to develop and implement protective control frameworks.
  • Proficiency with ERP systems and contract management software platforms, enabling efficient handling of contract details, reporting, and compliance tracking.
  • Strong working knowledge of Australian contract law, regulatory landscape, and compliance obligations relevant to corporate contract management.
  • Exceptional communication skills, both written and verbal, including negotiation abilities and experience presenting complex contract information to varied stakeholders effectively.
  • Demonstrated capacity to collaborate productively within multi-disciplinary and cross-functional teams, driving alignment toward shared contractual and commercial goals.
  • Highly organised with attention to detail and the ability to balance multiple priorities in a dynamic business environment.
