Job Opportunity: Coordinator – Humanitarian Assistance (Assisted Passage Programme)
Location: Melbourne, office-based
Are you highly organised, detail-oriented, and passionate about making a difference in humanitarian operations? We’re looking for a Coordinator to join our Humanitarian Assistance team and support the delivery of the Assisted Passage Programme (APP) — a vital initiative that helps individuals safely navigate complex ground transit situations around the world.
About the Role
As a Coordinator, you’ll play a key role in planning and coordinating ground transit tasks, working closely with internal teams and international partners to ensure smooth, safe, and efficient operations. You’ll be part of a collaborative, mission-driven environment, liaising with case managers, ground teams, and coordination desks in the UK and North America. In line with business requirements of our follow-the-sun operational model, shifts are worked Monday to Friday (including Public Holidays) rostered between the hours of 08:30 to 19:30. There may be a requirement on occasions to work weekends, which will be discussed and mutually agreed.
What We’re Looking For
This is an entry-level role, ideal for someone with strong attention to detail, a problem-solving mindset, and a passion for helping others. You’ll need to be process-driven but also able to think on your feet when situations evolve.
Key Skills & Experience
- Experience in customer service (face-to-face, phone, email, or messaging platforms) is highly valued.
- Familiarity with CRM or case management systems is a plus.
- Ability to work effectively in small, collaborative teams — including remote coordination.
- Strong communication skills in English, with the ability to work across cultures and time zones.
- Comfortable using MS Office, especially Excel; quick to learn new tools and systems.
- Awareness of regional security dynamics (Africa, Asia-Pacific, LATAM) is an advantage.
- Experience in humanitarian, medical, or security assistance is helpful but not required.
Qualifications

About The Role
What You’ll Be Doing
- Scoping, planning, and coordinating ground transit tasks under the APP.
- Preparing quotations and operational plans for task approval.
- Guiding ground teams and monitoring live task progress via chat and other communication tools.
- Maintaining awareness of the operating environment, including security and logistics.
- Completing post-task administration, including invoice and expense processing.
- Participating in daily handovers to ensure seamless case management across time zones.
Required Criteria
- Good understanding of regional security dynamics in one or more of our main operating regions (Africa; Asia-Pacific; LATAM)
Desired Criteria
- The ability to master new tools and processes: familiarity with MS Office, in particular Excel, is an advantage
