Your new challenge

As the Receptionist at CC7 Europe BV, you will serve the first point of contact for visitors and clients, providing a positive and welcoming experience. You will work closely with all employees and be part of the Facility team, led by the Office Manager. This entry-level position offers opportunities for professional growth within the company.


You will be the cornerstone of the company’s culture, embodying and representing its values both internally and externally. You have a service mindset, you are polite and firm, but also able to set boundaries. Over time, you will grow into an information hub of the organization – developing an understanding of the business, its people and how to connect them effectively.


Your new challenge will include:

  • Greet and Welcome Visitors:

    • Provide a friendly and professional greeting to all visitor, clients, and employees.

    • Issue visitor badges and keep track of visitor logs.

  • Answer and Direct Phone Calls:

    • Manage incoming calls and transfer them to the appropriate person or department.

    • Maintain and update the external phone list to ensure accuracy.

    • Accurately record and relay messages in a timely manner.

  • Coordinate Front Desk Operations:

    • Ensure the reception area remains clean, organized, and welcoming at all times.

    • Distribute office supplies to employees.

    • Manage parking bookings for employees and guests, distribute parking tickets, and track allocations.

    • Act as the primary point of contact with the World Trade Center representatives for any communication or facility-related matters.

  • Meeting Rooms Coordination:

    • Book and prepare meeting rooms, ensuring they are tidy.

    • Arrange refreshments, food and supplies for meetings and company celebrations, book restaurants if needed.

    • Regularly check and replenish coffee, tea and other supplies in communal areas.

  • Administrative Support:

    • Assist with general administrative tasks such as sorting mail, data entry, and filing.

    • Support other departments with clerical duties as required.

  • Schedule and Manage Appointments:

    • Coordinate and schedule bookings/appointments for staff and clients if needed, e.g. taxis

    • Keep the reception appointment calendar up to date.

  • Handle Inquiries:

    • Respond to inquiries and provide essential organizational information, including safety guidelines such as emergency exits and protocols.

    • Direct inquiries to the appropriate person or department.

  • Maintain Security:

    • Monitor and control access to the building, e.g. access cards, employees who loses cards, etc.

    • Ensure the safety and security of the premises.

  • Problem Resolution:

    • Address and resolve issues or concerns raised by visitors or clients.

    • Escalate matters to the appropriate personnel when necessary.

What we would like from you

We need someone who can handle tasks carefully and complete them on time without overlooking details. You should be comfortable using Microsoft Office tools and able to juggle different responsibilities, deciding what needs attention first when things get busy. Strong English communication skills, both written and spoken, are important for working with the team and keeping records clear and organized. Fluent in Dutch is essential for maintaining relationships with local vendors and suppliers.

Being dependable, showing up on time, and staying on top of your work without getting overwhelmed are key qualities we’re looking for. You should possess diplomacy and assertiveness, combined with the maturity to engage effectively with stakeholders at all seniority levels. Additionally, we expect you to adhere to CC7 Europe’s dress code, maintaining a polished and professional appearance that reflects the company’s values.

Qualifications:

  • At least 1 year of experience as a receptionist or in a similar role is preferred.

  • High school diploma or equivalent.

  • Fluent in English and Dutch, both written and spoken, strong writing skills for documentation and reports, proficient speaking for effective communication with teams and stakeholders.

  • Proficient in Microsoft Office Suite.

Process

Our hiring process begins with an initial screening call with one of our talent specialists to assess your fit for the role. If successful, you'll proceed to a first interview with your future colleagues to learn more about the role and team dynamics. The final stage consists of a second interview with the discipline/area lead and a talent specialist to discuss your aspirations and alignment with our company culture.

If you are selected, we will extend an offer, subject to the necessary work visas if required and satisfactory reference checking. Then begin the onboarding process to welcome you to the team.
