Summary
This position is responsible to all activities and functions relating to production planning of the Company in order to meet our customers’ requirements and performs a variety of duties including responding to customer inquiries regarding production scheduling, order status, order verification, order entry, price and delivery queries.
Primary Responsibilities
1. To provide production plans that will both meet customers’ needs and be able to be executed by production staffs in the most cost effective manner. You are the main contact for the customer
2. To recognize that “Anything that can go wrong will go wrong during production” and be able to keep calm to work out an alternate plan to meet requirement targets.
3. To ensure that all ingredients necessary to execute your plans are physically in the Plant in advance of actual production. This may involve frequent dialogue and good working relationship with the Supply Chain Inventory Controller.
4. To work closely with all departments involved to achieve them to deliver quality products within the scheduled time.
5. Based on information received from our Customers, produce weekly production schedule in conjunction with the Production and Maintenance Teams. Schedules are to be updated daily to reflect the status of the actual production.
6. Initiate orders for ingredients that are needed for current and following week’s production. Confirm that they are physically available at least 24 hours before the actual production is to take place.
7. Provide delivery schedules for bulk materials (Tanker, bottles, etc) to the supplier within the respected lead-time
8. Maintaining close contact with sales brokers and customers in respect to shortage, delay or refused orders in a
timely manner. Preparing sales report and order summary to the Broker on weekly basis
9. Monitoring and authorizing RGA and creating MDR in a timely manner
10. Responsible for the purchasing/creating purchase orders of all inventory and non-inventory items not supplied by customer (including juice concentrate, ingredients and packaging material)
11. Responsible for scheduling and monitoring delivery due dates to ensure materials arrive in time for production
12. Updating, negotiating, and determining the right price and delivery date
13. Sourcing new suppliers, issuing requests for quotations, receiving and selecting the right suppliers. Supplying of all necessary information to QA Department for approval of new suppliers and materials to be purchased.
14. Assisting QA in obtaining all necessary certificates, COA, COR in compliance with HACCP, ISO9001, FSSC22000 requirement (e.g. Kosher certification, MSDS, and etc.)
15. Providing forecast for the periodic consumption and usage of inventory and non-inventory items
16. Provide the customer weekly with a 4 weeks warehouse capacity forecast.
17. Invoicing customers once shipment/production is completed and assist in the AR collection process
18. Communicate with warehouses to track capacity & inventory availability, communicate any issues to the customer
19. Weekly updates and manages customer yield, fill rates and efficiency rates
20. Other duties as assigned
Knowledge, Skills & Education
1. Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma
2. Relevant customer service experience - experience in food and beverage manufacturing is an asset
3. Ability to make calculations such as discounts, freight estimates, dimensional weight, invoices, and percentages
4. Knowledge of general business computer software and aptitude to learn new software applications
5. Knowledge of warehouse inventory techniques and guidelines
6. Knowledge of food safety issues and regulations
7. Understanding of logistics and distribution workflow, including planning activities
8. Effective written and verbal communication skills
9. Good interpersonal skills
10. Good planning and time management skills
11. Must be flexible with working hours and willing to work after office hour, during weekend or holidays
Job Types: Full-time, Permanent
