Position Overview:
We are seeking a highly organised and detail-oriented Customer Service/Despatch Coordinator to join our team. This role is vital in supporting our Customer sales order processing, production scheduling, despatch coordination, and administrative tasks.

This role ensures the efficient handling of the customers interaction within the sales process from Quote through to and including Delivery. Provide constant customer interactions via email, phone, as well as customer updates with internal stakeholders, such as production, planning, and freight carriers.

This is a permanent, part-time position located in our Larapinta Brisbane Branch, QLD. This role is centrally located and supports the Civilmart Wodonga Poles Branch in Queensland.

Your Role & Responsibilities:
  • Sales Administration: Process orders, prepare documentation, update schedules, and manage accounts.
  • Customer Service: regular and constant communication with the customer, qualify delivery expectations, timing and product specification
  • Despatch Coordination: Schedule deliveries, prepare paperwork, and track logistics.
  • Tag Management: Create and manage production tags for order traceability.
  • Reporting & Tracking: Prepare reports, maintain records, and update logistics schedules.

  • Strong attention to detail and accuracy.
  • Effective communication skills and the ability to coordinate with multiple teams.
  • Experience in administrative roles, particularly in sales or logistics, is highly regarded.
What we are looking for:
  • Qualifications in Business Administration are favourable but not mandatory
  • Minimum 2 years’ experience in an administration based role.
  • Experience working in the manufacturing industry is advantageous.
  • Desirable to have experience in Sales or Customer Relationship Management
  • Experience in the building/construction industry (or related – manufacture/supply-chain)
