The main purpose of this position
The Data Support Coordinator supports the accuracy, consistency, and integrity of agency data by working closely with the Lead, Data and Quality Analyst and program staff to ensure timely, complete, and compliant data entry and reporting.
This role plays a key part in maintaining high-quality electronic medical record (EMR) documentation to meet internal quality improvement goals and mandatory reporting requirements for funders.
Responsibilities
Data Entry, Integrity, and Quality
- Accurately enter, update, and maintain data in electronic client records and related data systems.
- Conduct regular data audits to identify errors, gaps, and inconsistencies in documentation.
- Analyze data trends and flag data quality issues for follow-up and improvement.
- Support the implementation of documentation quality improvement strategies.
EMR and Staff Support
- Provide EMR and data-related support to program staff, including guidance on data entry practices and documentation standards.
- Work with staff to ensure EMR data is complete and available for mandatory reporting to funders.
- Assist with troubleshooting basic EMR data issues and escalate complex concerns as appropriate.
Reporting and Data Coordination
- Collaborate with the Lead, Data and Quality Analyst to support timely data evaluation and reporting.
- Assist with internal and external data requests and routine reports.
- Report regularly to leadership on data quality trends, risks, and improvement opportunities requiring staff follow-up.
- Support tracking of program data and outcomes to inform service planning and quality improvement.
- Work collaboratively with external partners to support data alignment and integration (e.g., dashboards, reporting).
Documentation Standards and Compliance
- Stay up to date with relevant documentation definitions and standards (e.g., OHRS, Alliance for Healthier Communities) and ensure staff are informed of changes.
- Develop, update, and maintain data dictionaries and documentation procedures to support consistent data entry practices.
- Ensure data is stored, accessed, and handled in compliance with PHIPA and organizational confidentiality policies.
- Support audits and reporting processes related to data compliance and funder requirements.
Privacy
- Collaborate with the Lead, Data and Quality Analyst to support staff awareness and adherence to PHIPA.
- Conduct regular privacy audits to assess compliance with applicable privacy legislation, regulations, and internal policies.
Knowledge and skills necessary to be successful in this role
- Post-secondary education in health administration, data management, information systems, or a related field, or equivalent experience.
- Experience working with EMRs (e.g. EMHware, PS Suites) or client data systems, preferably in healthcare, mental health and/or addictions, housing, or community-based services.
- Strong attention to detail and accuracy in data entry and review.
- Ability to analyze data trends and identify quality improvement opportunities.
- Strong organizational and time-management skills.
- Clear communication skills and ability to support staff with varying levels of data literacy.
- Experience working within privacy legislation (PHIPA), confidentiality, and data management best practices.
- Proficiency with Microsoft Office tools (Excel, Word, Outlook).
- Experience with visualizations software (e.g. Power BI, Amazon Quicksight, Tableau).
- Ability to work independently and as part of a team.
Working conditions
