Position Summary
As a key member of the Carhive finance and operations team, the Bookkeeper will be responsible for maintaining accurate financial records and supporting day-to-day accounting operations for the dealership. This role plays a critical part in ensuring financial integrity, regulatory compliance, and smooth internal reporting across sales, service, and finance functions.
The ideal candidate has strong dealership accounting experience, excellent attention to detail, and working knowledge of the PBS Dealer Management System (DMS). Experience in automotive retail bookkeeping is essential.
Key Responsibilities
- Maintain accurate and up-to-date financial records including accounts payable, accounts receivable, general ledger entries, and bank reconciliations.
- Process and reconcile daily vehicle deals, service invoices, commissions, flooring statements, and manufacturer receivables within the DMS.
- Manage posting of sales, warranties, financing, and inventory transactions in accordance with dealership accounting standards.
- Prepare monthly, quarterly, and year-end financial reports to support management review and audit requirements.
- Reconcile inventory schedules, floorplan accounts, and aging reports regularly.
- Monitor cash flow, prepare deposit reconciliations, and support payroll processing as required.
- Ensure compliance with internal controls, accounting policies, and OMVIC / regulatory requirements.
- Collaborate closely with sales, finance, and management teams to resolve accounting discrepancies efficiently.
- Maintain organized documentation including deal jackets, invoices, bank statements, and audit files.
- Support external accountants and auditors during financial reviews and year-end processes.

- Automotive Accounting Expertise: Strong understanding of dealership accounting processes, vehicle deal posting, and inventory reconciliation.
- DMS Proficiency: Working knowledge of PBS Dealer Management System (mandatory).
- Accuracy & Attention to Detail: High level of precision in financial entries and reconciliations.
- Time Management: Ability to manage multiple deadlines in a fast-paced dealership environment.
- Communication: Clear and professional communication with internal stakeholders and external partners.
- Problem Solving: Ability to identify discrepancies and resolve accounting issues efficiently.
- Confidentiality: Strong sense of integrity and discretion when handling sensitive financial information.
Qualifications
- Minimum 2 years of bookkeeping or dealership accounting experience in an automotive retail environment.
- Mandatory working knowledge of PBS Dealer Management System (DMS).
- Strong understanding of accounts payable, accounts receivable, general ledger, and dealership financial reporting.
- Proficiency with MS Office (Excel, Word) and accounting software.
- Experience working with vehicle inventory, floorplan, commissions, and manufacturer receivables.
- Post-secondary education in Accounting, Finance, or Business preferred.
- Strong organizational and analytical skills with high attention to detail.
