Wayne State University is searching for an experienced Director, Michigan Poison and Drug Information Center at its Detroit campus location.

Essential functions (job duties):

Management:
Provides overall leadership and direction to department. Manages the administrative and operational staff, both local and remote or out-of-state. Establishes and maintains a positive working environment that encourages productivity and retention of staff, including opportunities for professional development. Attracts, retains, and develops high performing professionals.
Sets expectations & focus, assigns duties, delegates responsibilities, evaluates activities, prepares performance appraisals & professional development plans.
Ensure administrative protocols are up to date for staff needs. Plans for future staffing needs.
Manage the administrative process for assigned staff including hiring, promotions, terminations, disciplinary procedures, and salary adjustments. Provides timely communications to department.
Develop and maintain quarterly schedules for SPIs and update as needed. Coordinate leave requests, call offs, traded shifts, and vacant shifts. Ensure scheduling policies and processes are designed in such a way to be of full benefit to the department.
Development of ongoing MiPDC Standard Operating Procedures to ensure uniformity in quality and expectations from the SPIs.
Document staff meeting attendance. Track staff professional licensure expiration dates. Alert Directors of any expired licenses. Review and approve payroll.
Submit timesheet adjustment to Payroll as needed.
Provide on-call support for staff operational issues. Support MiPDC staff during events resulting in a surge of calls, prolonged downtime, or issues arising from acute vacancies.
Create and maintain tables of staff productivity on a bi-weekly basis by collecting data from various sources.
Randomly audit for policy compliance regarding benchmarks for insurance, self-introductions, chart documentation, etc.
Provide accurate data by educating staff about documentation guidelines.
Develop standards to improve efficiency and incorporate lean principles into our daily practice.
Operational:
In concert with the Sr. Director and Medical Director, set strategic vision for MiPDC, set performance metrics and related policies and procedures. Develop and operationalize new processes and procedures within the scope of the program. Collaborate with internal and external departments to address the needs of the MiPDC and the organization. Provide on-call support for staff operational issues.
Interface and actively collaborate with internal and external constituencies on a regular basis including the Michigan Department of Health and Human Services (MDHHS), American Association of Poison Control Centers (AAPCC), Health Resources & Services Administration (HRSA), the senior leadership of Wayne State University including the President and the Chair of the Department of Emergency Medicine.
Oversee budget expenditures following agency and university guidelines. Provide ad-hoc reports of activities, expenditures and benchmarks and other reporting as needed. Oversee the purchasing and the reasonable use of all equipment and consumables. Develop and maintain contracts including initial and ongoing negotiation with all external clients. Serve as the liaison between the center and the equipment manufacturers.
Coordinate with MiPDC Sr. Director and Medical Director for new applicant screening, application reviews, interview offers, interview logistic coordination and scheduling. Develop and/or maintain orientation checklist and supporting materials. Structure MiPDC SPI on-boarding process. Ensure new employees progress through training during shifts.
Technology and Equipment Support:
Ensure minimal office and computer equipment downtime and contact/follow-up with WSU SOM C&IT/Communication departments for repair/service as needed.
Coordinate operations for any MiPDC shutdowns and surges.
Provide support for staff education for new technology for Department.
Co-ordinate technology updates and troubleshoot and identify opportunities for Center process improvements.
Perform other related duties as assigned.

Unique duties:

Qualifications:

Minimum Qualifications:
Education Master's degree
Master’s Degree from an accredited university in Masters of Business Administration (MBA) or Health Care Administration.
Experience Expert (established subject matter expert, 7+ years experience)
Supervisory experience managing remote workforce preferred.
Poison center experience preferred.
Knowledge, Skills, Abilities:
Technical Knowledge:
Knowledge of University Policies and Procedures (including research administration). Proficiency in Microsoft Office (Access, Word, Excel, PowerPoint). Proficiency with scheduling software When2Work. Knowledge of Ring Central phone/chat software. Knowledge of relational databases
Interpersonal Skills:
Effective interpersonal and customer service skills. Desire to work with a diverse population and maintain cultural sensitivity in all actions. Ability to manage within a challenged, academic environment, including dealing with sensitive and confidential human relations situations.
Supervisory Skills:
Ability to delegate and supervise assignments, set clear direction, and manage workflow. Strong mentoring and coaching skills. Ability to train staff and develop staff skills. Ability to foster teamwork among staff and faculty members.

Provides leadership and training to responsible area(s) regarding financial, budgetary, human resources and administrative matters. Demonstrates strong leadership skills that can influence and motivate individuals and groups to achieve results
Organizational Agility:
Demonstrates the use of strategic and mission critical approaches in decision making. Knows how to get things done both through formal channels and the informal networks. Demonstrates the ability to work effectively with Dean/VP/Unit Head to establish and accomplish the mission, strategic plans, goals, and objectives of the unit
Financial Skills:
Ability to develop budgets for grant project and provide oversight and management of comprehensive budgets.
Ability to compare, contrast and quality check work with a keen attention to detail.
Strong analytical skills including critical thinking and problem solving.
